Job description

This is a remote position.

Schedule:

  • Flexible hours up to 20 hours per week. Then at least half time availability for Eastern standard time anytime between 8am-6pm Monday to Friday to complete the 40 hours a week

Job Description

Embark on an exciting journey as an Executive Assistant in a dynamic healthcare environment that’s pushing the boundaries of medical practice management. In this pivotal role, you’ll be at the heart of organizational efficiency, directly supporting key leadership figures including the CEO and Director of Operations. Your expertise will be instrumental in streamlining administrative processes, enhancing productivity, and spearheading innovative projects. This position offers a unique blend of traditional executive support and modern business strategy, allowing you to leverage cutting-edge tools like AI and advanced CRM systems. Responsibilities
  • Orchestrate complex calendar management for multiple executives, ensuring seamless scheduling and optimal time utilization
  • Craft professional communications and draft critical documents, serving as the voice of leadership
  • Develop and maintain comprehensive spreadsheets and reports, transforming raw data into actionable insights
  • Spearhead the creation and refinement of Standard Operating Procedures (SOPs), driving operational efficiency
  • Curate and organize a robust library of training materials, facilitating knowledge sharing and team development
  • Champion the implementation of AI tools for process improvement, positioning the practice at the forefront of healthcare innovation
  • Manage and optimize CRM systems (HubSpot and Hint), ensuring data integrity and maximizing relationship management capabilities
  • Collaborate on special projects, potentially including support for new business ventures in health coaching

Requirements
  • Proven track record in executive support roles, preferably in a healthcare or fast-paced professional services environment
  • Advanced proficiency in Microsoft Office Suite, with a particular emphasis on Excel (including macros and complex formulas)
  • Hands-on experience with CRM systems, especially HubSpot, and a knack for quickly adapting to new software
  • Exceptional organizational skills with a talent for juggling multiple high-priority tasks without dropping the ball
  • Outstanding written and verbal communication abilities, capable of articulating complex ideas clearly and concisely
  • Self-starter mentality with the ability to work independently and proactively identify areas for improvement
  • Enthusiasm for emerging technologies and a willingness to champion AI and other innovative tools in the workplace
  • Flexibility to adapt to changing priorities and occasional non-standard hours to support critical business needs
  • Ability to maintain strict confidentiality and exercise discretion when handling sensitive information
  • Bachelor’s degree preferred, but equivalent experience will be considered
