Job description

This is a remote position.



Scope

  • Full-time: 40 hours a week

  • Mon - Fri 8am-5pm Pacific Time (12am - 9am Manila Time)

  • Vancouver CAD

We are a successful and growing structural engineering and building design firm serving residential and commercial clients in Victoria, Canada. Our unique coordinated approach allows us to be involved early in the design process to solve problems proactively and deliver cost-effective solutions tailored to our clients' needs. We are seeking an Executive Assistant to support our founder and CEO in optimizing workflow and information flow so he can focus on high-value priorities. As Executive Assistant, you will play a critical role in streamlining our CEO's workflow to maximize efficiency. Responsibilities include managing calendars, travel, and inquiries via email and phone. You will proactively communicate with clients and team members to keep projects on track. To be successful, you must be comfortable multitasking, have strong written and verbal skills, and be able to quickly understand client needs based on limited information.


Responsibilities

  • Email and task management and coordination

  • Management of calendar and travel arrangements

  • Preparing documents like quotes and minutes

  • Providing regular updates on tasks and projects

  • Accounts reconciliation

  • Liaise with Internal and External clients



Requirements
  • At least 3 years experience as an Executive Assistant

  • Excellent communication and interpersonal skills

  • Highly organized with ability to multitask

  • Proficient with Microsoft Office suite

  • Works well under pressure

  • Enjoys fast-paced environment
