Our Opportunity:

The Executive Assistant will provide support to Purdue University Global. Building on Purdue University's mission to provide greater access

 to affordable, high-quality education, Purdue University Global is a public, nonprofit institution offering a world-class education online.

Job Summary:

The Executive Assistant provides a wide range of administrative support to the Chancellor and to the Purdue Global leadership team in general,

with the goal of maximizing the effectiveness of operational processes and communications. This role serves as a liaison with various executive

offices and other external stakeholders. The Executive Assistant facilitates communication, drafts and edits documents, plans events,

schedules meetings, and coordinates special projects.


This position reports directly to the Chancellor and includes a virtual work location, with
occasional work in West Lafayette, Indiana, as needed.

What to expect in this role:

● Communication
          ○ Exercise discretion and independent judgment to collect and analyze information requests and identify trends to create operational efficiencies.
          ○ Conserve executive’s time by reading, researching, and routing correspondence.
          ○ Respond to inquiries and issues from internal and external sources.
          ○ Manage the PG Google Voice line.


● Scheduling and Travel
         ○ Maintain executive’s calendar, schedule complex meetings, prepare agendas, arrange complex national and international travel,

             and ensure support materials are prepared and available.                                                                        
          ○ Plan and execute the logistics of leadership meetings and events, including setup of meeting space and catering.

 

● Operational Support
          ○ Monitor credit card expenses and maintain financial records for administrative support, and submit the expense reports in a timely manner.
          ○ Submit invoices for payment.
          ○ Create, update, and maintain databases, websites, and mailing lists.
          ○ Communicate with the building deputy regarding new access cards and office issues.
          ○ Order supplies and maintain office equipment.


● Other administrative support duties as assigned

Experience:

Requires a Bachelor’s degree in Communications, Business Administration, Management, or a related field, and minimum of 3 years of experience in a high-level administrative support role or equivalent.


● An equivalent combination of education and experience may also be considered


● Preferred qualifications: 5+ years of experience supporting senior organizational leaders and higher education support

What we’re looking for

● Skilled in collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needs


● Skilled in interpreting policies and procedures to proactively resolve issues


● Excellent written, verbal and interpersonal communication skills


● Strong organizational and time management skills and attention to detail


● Advanced computer and related software skills to include Word, Excel, PowerPoint, Google Suite products, web conferencing tools, etc.


● Ability to:
          ○ handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality


          ○ identify problems, generate ideas for improvement, and implement or recommend solutions


          ○ use discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomes


          ○ use discretion regarding when to involve the senior leader or Executive, when to resolve issues independently, or when to engage others


          ○ work in a multicultural environment, across diverse teams, departments, and Schools

 

● Travel to West Lafayette, Indiana, as needed (10-15%). This role is remote, but we prefer candidates based within a commutable distance of West Lafayette, IN.

Additional Information:

● Target salary is $65,000.


● Please note that this is a remote position.
