Responsibilities/ Accountabilities

Data Management and Procurement:

  • Create and maintain procurement and supply chain reports, including PR-PO conversion reports, open order reports, spend analysis, and supplier performance metrics.
  • Manage Item Masters, BOMs, routings, and associated supply chain data.
  • Documentation Management: Ensure receipt of necessary documentation for materials (e.g., COA, SDS, product specifications).
  • MRP Utilization: Utilize Material Requirements Planning (MRP) systems to forecast demand and plan procurement activities.
  • Maintain accurate records of purchases, contracts, and supplier performance metrics.

Analysis and Insights:

  • Analyze procurement and supply chain data to identify trends, opportunities for cost savings, and areas for process improvement.
  • Provide actionable insights and recommendations to senior management to support strategic decision-making.

Collaboration and Communication:

  • Collaborate closely with procurement, logistics, QA, R&D, QC, manufacturing, finance, and other departments to gather necessary data and ensure alignment on reporting requirements.
  • Present findings and insights to internal stakeholders through clear and effective communication methods, including reports, dashboards, and presentations.

Process Improvement:

  • Identify opportunities to streamline and enhance reporting processes, leveraging automation and advanced analytics tools where appropriate.
  • Implement best practices in data management and reporting to improve efficiency and accuracy.
  • Oversee the procurement and management of excipients, raw materials, miscellaneous services, and contracts, ensuring quality standards and timely availability for production needs.
  • Collaborate with suppliers to maintain a reliable supply chain for critical materials.

Strategic Planning:

  • Contribute to the development of strategic plans by providing data-driven insights and supporting the creation of long-term procurement and supply chain strategies.
  • Monitor industry trends and best practices in reporting and analytics to ensure the organization remains competitive and innovative.

Training and Support:

  • Train and mentor team members on reporting tools, data analysis techniques, and best practices.
  • Train alternate resource within department as a backup
  • Provide ongoing support to ensure team members are proficient in utilizing reporting systems and tools effectively and meeting timely delivery.

Compliance and Risk Management:

  • Ensure all reporting activities comply with legal and organizational policies and adhere to standard operating procedures.
  • Identify and mitigate risks associated with data management and reporting processes.

Vendor Management:

  • Develop and implement a comprehensive vendor management strategy to optimize vendor performance and relationships.
  • Source new vendors, distributors, for indirect and direct materials as required.
  • Lead alternate vendor development (AVD) initiatives to ensure a robust and competitive vendor base.
  • Negotiate with vendors to secure the best terms and conditions, ensuring cost-effective procurement without compromising on quality.
  • Create and maintain a detailed vendor database, ensuring all vendor information is accurate and up to date.
  • Evaluate vendor performance regularly to ensure compliance with contractual obligations and organizational standards.
  • Foster strong relationships with key vendors to ensure long-term partnerships and reliable supply chains.

Education Qualifications

  • Bachelor’s degree in pharmacy/chemical engineering/science related field, or a related field; a master’s degree in industrial engineering/supply chain/Pharmaceuticals is preferred.
  • Master’s degree is preferred.

Experience

  • A minimum of 4-5 years of materials planning, procurement, and supply chain management in the pharmaceutical or manufacturing industry.
  • A minimum of three (3) years in a leadership/managerial role.
  • Proven experience in materials/Purchasing manager, data analysis, reporting, and providing strategic insights, vendor negotiations.
  • Must have experience procuring and purchasing raw and packing materials specific to the pharmaceutical industry.

Skills/ Competencies

    • Familiarity with MRP systems, procurement software tools, SAP, Microsoft Suite, SOPs, RCA, CAPA, GMP, and best documentation practices.
    • Understanding of supply chain and inventory management systems, forecasting, and budgeting
    • Excellent analytical, problem-solving, and decision-making skills.
    • Exceptional communication and presentation skills, with the ability to convey complex information clearly to senior management.
    • Demonstrated ability to lead and mentor a team, fostering a collaborative and high-performance work environment.
    • Strong understanding of compliance and risk management principles in procurement and supply chain processes.
    • Ability to stay updated on industry trends and apply best practices to improve organizational performance.
    • Proven track record in vendor management, including alternate vendor development, vendor negotiation, and database creation.

Physical Requirements

  • Sitting at a desk and/or working at a computer or other “screen” 75% or greater of an 8-hour period.
