Job description

This is a remote position.

Schedule:

  • Flexible schedule during Cincinnati, OH business hours (20 hours per week) 7 days a week, generally flexible hours but preferred similar to: 9 am - 10 am EST; 2 pm - 3 pm EST or 3 pm-4 pm EST; 7pm - 8pm EST

As a Virtual Assistant for this cutting-edge pageant coaching marketplace, you’ll be at the forefront of streamlining operations and enhancing client experiences. This role offers an exciting blend of client management, technology utilization, and administrative expertise. You’ll be instrumental in managing the client lifecycle, from initial onboarding to ongoing support, while leveraging state-of-the-art tools to automate and optimize processes. Your analytical mindset and attention to detail will be crucial as you navigate database management, CRM systems, and communication platforms. Responsibilities
  • Spearhead client onboarding processes, ensuring a smooth and welcoming experience for new pageant contestants and coaches
  • Manage and optimize the company’s database, maintaining accurate and up-to-date information crucial for business operations
  • Coordinate and schedule meetings between clients, coaches, and internal team members, ensuring efficient communication flow
  • Utilize and master cutting-edge tools such as Go High-Level CRM, Zapier, Notion, and Mighty Networks to streamline workflows and enhance productivity
  • Assist in the transition and management of the company’s new CRM system, contributing to improved client relationship management
  • Create and maintain efficient automation workflows using Zapier, reducing manual tasks and increasing overall efficiency
  • Monitor and facilitate engaging communication on the Mighty Networks platform, fostering a vibrant community of pageant enthusiasts
  • Provide crucial administrative support to ensure smooth daily operations and contribute to the company’s growth strategies


Requirements

  • Proven experience as a virtual assistant or in a similar role, preferably in a service-based or coaching industry
  • Proficiency in Go High-Level CRM software, or a strong willingness to quickly learn and master this tool
  • Hands-on experience with Zapier for creating and managing automated workflows
  • Familiarity with Notion for internal tracking and organization of business processes
  • Knowledge of Mighty Networks or similar community platforms (preferred but not required)
  • Strong analytical and problem-solving skills, with the ability to interpret data and suggest improvements
  • Excellent attention to detail and superior organizational abilities
  • Proficiency in database management and a keen eye for maintaining data accuracy
  • Outstanding written and verbal communication skills
  • Ability to work independently, manage time effectively, and thrive in a remote work environment
  • Enthusiasm for the pageant industry and a passion for supporting clients in achieving their goals
  • Flexibility to adapt to changing priorities and the evolving needs of a growing business
