Blue Cross and Blue Shield of MN is hiring an Executive Administrative Assistant in Eagan, MN. You will support the Chief Information Officer and other executives by managing calendars, creating correspondence/presentations, and handling various administrative tasks. This role requires anticipating executive needs, taking initiative, and maintaining confidentiality. 

 

This role requires 4 days a week in office (Monday – Thursday, Friday remote), in Eagan, MN.  

 

A Day in the Life: 

  • Responsible for a variety of administrative duties to ensure the area runs smoothly and with appropriate confidentiality. These include: Proactively manage calendars, respond and forward messages with high level of professionalism. Creates reports, documents, presentations, and spreadsheets while exercising. independence regarding layout and style. 

  • Schedules meetings, virtual meetings, conference rooms and travel arrangements. 

  • Anticipates needs of the executive(s) with minimal direction. 

  • Receives and screens telephone calls, letters, and/or visitors. 

  • Answers questions, sometimes of a more complex nature, obtains and furnishes information as appropriate. 

  • Drafts correspondence for executives' final approval. 

  • Anticipates needs and trouble shoots potential problems with minimal to no assistance or guidance. 

  • Ensures that the technology used in department meetings and presentations, including teleconferencing, mobile devices, laptops, etc. is completely mastered and can answer calls of assistance, set-up and troubleshooting. 

  • Creates and manages support tickets, as needed, for the admin support group. 

  • Guides and supports admin assistant team, as needed. 

  • Performs other duties as assigned. 

 
 

Required Skills and Experiences: 

  • 4+ years of related experience. All relevant experience including work, education, transferable skills, and military experience will be considered. 

  • Advanced skill level in Microsoft Word, Excel, and PowerPoint. 

  • Knowledge of ServiceNow or other ticket management tool preferable. 

  • Demonstrates high level of interpersonal skills and professional acumen. 

  • Demonstrates high level of organizational skills. 

  • Demonstrates excellent communication and relationship building skills. 

  • Manages highly confidential information using appropriate discretion. 

  • Presents a highly professional, personable, and knowledgeable face to all internal and external contacts. 

  • Exercises a high level of judgment and timeliness in dealing with sensitive internal issues and relationships. 

  • Proficiency in written communication. 

  • Demonstrates ability to manage change and adapt work style and processes accordingly. 

  • Demonstrates acumen to understand the organization, policies and processes quickly. 

  • Exhibits competence in negotiating and dealing with customers and other stakeholders relative to redirecting them to other individuals. 

  • Manages multiple tasks in an environment of tight deadlines and quality standards. 

  • Exhibits a high degree of autonomy and decision making discretion. 

 

Preferred Qualifications: 

  • Associate's degree. 

  • Proven experience in supporting C-level executives. 

  • Proactive mindset with the ability to anticipate the needs of the executives and take initiative to address them. 

  • Flexibility and adaptability to changing priorities and demands. 

  • Familiarity with project management tools and software. 

  • Thrives in a fast-paced environment with multiple project assignments 

  • Ability to perform duties in high-stress environment, with effective prioritization and execution under pressure 

 

Role Designation

Onsite

Role designation definition: Teleworking is working full time remote. Hybrid is a combination of working onsite and remotely.  Onsite is full-time onsite.

Compensation and Benefits

$26.57 - $33.21 - $39.85 Hourly

Pay is based on several factors which vary based on position, including skills, ability, and knowledge the selected individual is bringing to the specific job.
