What we’re looking for:

We’re seeking an experienced Workplace Manager to oversee and maintain our office environment, ensuring it is clean, secure, and welcoming for all employees and visitors. You’ll be responsible for managing vendors, coordinating office repairs, and handling day-to-day facility needs. You should have strong organizational skills, an eye for detail, and the ability to deliver top-notch workplace experiences.

ABOUT THE ROLE: 
  • Taking care of overall workplace operations, including office cleanliness, security, vendor management, budget tracking, pantry snacks, onboarding formalities, office stationery, minor repairs, and event management.
  • Ensuring high standards of cleanliness in the office and maintaining physical and electronic security operations (ID checks, access cards, visitor logs, etc.).
  • Maintaining standard registers such as material movement, vendor visitor logs, and courier inward/outward.
  • Organizing fire mock drills with support from the ERT Committee.
  • Coordinating new joiner and exit formalities.
  • Monitoring and addressing minor office repairs and maintenance needs.
  • Managing vendor relationships by obtaining competitive quotes, overseeing quality checks of materials, coordinating repairs for office equipment, and validating vendor invoices.
  • Managing office inventory, including welcome kits for new joiners, stationery, first aid materials, and pantry supplies.
  • Conducting regular audits of stored items and reconciling stock reports.
  • Maintaining a tidy and fully equipped pantry/canteen, organizing snacks and weekly lunches, and preparing relevant usage/consumption reports.
  • Preparing monthly admin expense reports (Forecast vs. Actual), managing invoice trackers, and coordinating with Finance on payments.
  • Updating store consumption reports daily and managing petty cash/corporate card expenses.
  • Planning, organizing, budgeting, and implementing company events (on-site and off-site), collaborating closely with the HR team.

 

What makes you a great fit:
  • You have a minimum of 8+ years’ experience in workplace/facility operations, with a strong track record of managing office environments.
  • You have a bachelor’s degree (minimum).
  • You have excellent communication skills in English, both written and verbal.
  • You’re highly organized with strong attention to detail and problem-solving skills.
  • You have experience in vendor management, budgeting, and invoice tracking.
  • You enjoy working in a dynamic environment where processes may evolve quickly.
  • You’re comfortable using Microsoft Office or similar tools for reporting and inventory management.
  • You’re a team player with strong interpersonal skills and a proactive, can-do attitude.
