About the Client:

This therapist’s medical practice focuses on providing high-quality care in peptides, hormone replacement therapy (HRT), weight loss, and overall wellness. The practice is dedicated to delivering compassionate, patient-centered care and ensuring all patients feel valued and supported.


Scope of Work/ResponsibilitiesAdministrative Tasks:

  • Appointment scheduling and reminders.
  • Patient records management using EMR systems (Practice Fusion, Charm Health, Boulevard).
  • Handling patient inquiries and correspondence via email, text, and phone calls.
  • Document preparation (reports, presentations, spreadsheets).
  • Managing the patient checkout process, ensuring proper data collection and processing.

Medical Support:

  • Answer patient inquiries related to medical concerns, particularly regarding peptides and hormone replacement therapy (HRT).
  • Accurately enter patient notes and documentation into EMR systems.
  • Follow up with patients to address concerns and provide necessary support.
  • Comfortably explain medical procedures and protocols to patients.

Patient Interaction:

  • Communicate professionally and empathetically with patients.
  • Ensure patients feel supported through prompt and effective follow-ups.
  • Contribute to concierge-level care by providing personalized support.

Support for High Patient Volume:

  • Efficiently handle high patient volume and administrative workload.
  • Prioritize patient inquiries to maintain excellent service.

Flexibility and Adaptability:

  • Seamlessly integrate into the current workflow.
  • Quickly learn and adapt to new systems and protocols.


Experience Requirements

  • Medical Education/Degree.
  • The VA can be either a USA RN or a Philippines RN.


  • Preferred Experience:
  • Prior experience as a Medical Assistant (MA) or Registered Nurse (RN).
  • Familiarity with medical terminology, especially in peptides and HRT.
  • Experience handling sensitive topics related to weight loss, women’s health, and men’s health.


Software Proficiency

  • Electronic Health Records (EHR/EMR): Practice Fusion, Charm Health, Boulevard.
  • Office Tools: Google Workspace (Docs, Sheets, Drive), Excel.
  • Communication Tools: RingCentral.


Key Performance Indicators (KPIs)

  • Efficiency in managing tasks and inquiries.
  • Clear and professional communication with patients and providers.
  • Positive patient feedback and satisfaction.
  • Timely collaboration with the Director of Operations.

  • Sensitivity and Empathy: Comfortable discussing sensitive health topics.

Basic requirements


  • Must be proficient in speaking and writing English very clearly
  • Must have relevant work experience
  • Be able to submit an NBI clearance or Local Police Clearance background check if requested
  • Must be available for video meetings with your camera on
  • Must have no other clients during required work hours


Technical requirements


  • Device: Reliable laptop or desktop computer.
  • Internet: High-speed connection (minimum 10 Mbps).
  • Audio: Noise-canceling headset.
  • Video: Webcam for virtual meetings.
  • Workspace: Quiet, professional environment.
