Job description

My client is seeking a dynamic and adaptable Administration Manager to support the smooth administration functions of a leading Digital Marketing Agency. This role is ideal for someone who enjoys variety in their daily work and thrives in a dynamic and exciting environment. You will be at the heart of our operations, overseeing all client and supplier accounts, contract administration, supporting the sales team and contributing to the company's overall success.

Key Responsibilities

  • Accounts Receivable and Payable Administration
  • Administer all bookkeeping tasks, invoicing, accounts receivable/payable data entry/management, reconciliations and overdue account management.
  • Set up new clients in Xero, including data entry of all details and configuration of recurring, project-based and ad hoc accounts and invoicing.
  • Manage day-to-day office operations, including internal (staff) and external (Client/Supplier) correspondence and administration.
  • Handle all aspects of contract management, including verification of new client and supplier contract details, ABN alignment with sales contracts, credit checks through Creditor Watch, and ongoing maintenance of new, recurring, project and terminating clients and suppliers.
  • Manage Xero Payroll setup for new hires, process staff leave approvals, coordinate new staff schedules with management, handle ad hoc staff enquiries, and organize annual staff gatherings.
  • Provide administrative support to the sales team, including managing admin tasks in Hubspot, preparing financial reports and scheduling meetings.

Required Experience And Skills

  • Minimum 10 years experience in office administration within digital marketing agencies
  • Demonstrated expertise in payroll processing, accounts payable/receivable, and contract administration
  • Proficiency in accounting software (Xero/Quickbooks/MYOB)
  • Experience with project management tools (Clickup/Asana/Trello) and CRM tools (Hubspot)
  • Strong organizational and multitasking capabilities
  • Excellence in communication and interpersonal skills
