This is a remote position.

Schedule:

  • 35 hours per week
  • Monday to Friday
  • 9 AM to 5 PM Fort Lauderdale, Florida, USA, Eastern time with 1 hour unpaid break

Job Description

We’re seeking a detail-oriented and highly organized Virtual Administrative Assistant to support our growing law practice. In this role, you’ll be the backbone of our daily operations, managing a diverse range of administrative tasks that are essential to our firm’s success. You’ll handle client communications, manage schedules, and ensure the smooth flow of information within our practice. Responsibilities
  • Manage incoming calls and client communications with professionalism and courtesy
  • Oversee the attorney’s calendar, scheduling appointments and managing time effectively
  • Handle basic email correspondence, ensuring prompt and accurate responses
  • Perform data entry tasks with high accuracy, particularly in time entry systems
  • Organize and maintain digital and physical files, ensuring easy access and confidentiality
  • Assist with various administrative tasks as needed, adapting to the changing needs of the practice
  • Coordinate with clients and other professionals to facilitate smooth communication
  • Prepare and proofread basic legal documents under attorney supervision
  • Maintain a high level of confidentiality and professionalism at all times


Requirements
  • Excellent written and verbal communication skills in English
  • Strong proficiency in basic computer skills and office software
  • Demonstrated ability to maintain confidentiality and handle sensitive information
  • Exceptional organizational skills and attention to detail
  • Proven track record of accuracy in data entry and document management
  • Basic understanding of legal terminology (preferred but not required)
  • Ability to work independently and manage time effectively in a remote setting
  • Adaptability and willingness to learn new skills and technologies
  • Spanish language skills are a plus, but not required
  • 1-3 years of experience in administrative support or related field
  • Reliable internet connection and quiet work environment for remote work
  • Commitment to working full-time, 35 hours per week, during Eastern Time business hours
