Job Description

NSF Diegem is recruiting a “Complaint & Administration Coordinator”. You will be in charge of the daily administrative support of the client for whom you carry out the mission. This activity can be extended according to the evolution of customer demand, the continuous improvement of customer services. Active or passive participation in proposals, implementations and project management - customer satisfaction oriented.

Responsibilities

Handling complaints and claims:

  • Management of a mailbox, management of emails – with priority system.
  • Analysis of complaints/remarks/non-conformities/miscellaneous requests.
  • Management of the degree of seriousness and importance of the file, management of priorities and implementation of appropriate actions.
  • Management of unforeseen events, emergencies, sensitive files, recurring files, recall.
  • Respect for customer requests and deadlines.
  • Use of computer tools, encoding, compilation, use.
  • Respect and follow-up of internal and customer procedures.
  • Autonomous case management.
  • Integration of customer requests

Follow-up Of Files

  • Management of all requests by finding/proposing logical and adequate solutions.
  • Follow-up of requests, emails, by carrying out investigations, searches by different means.
  • Contacts with suppliers, stores, customers, colleagues, others, reminders and closure of files.
  • Evaluation of reports/responses from suppliers/stores/labs/others.
  • Implementation of corrective actions and follow-ups.
  • Follow-up of services, expectations and operational issues
  • Resolution of customers' technical issues.
  • Respect for deadlines.

Additional Tasks

  • On-demand coaching for a team/stores/colleagues/others.
  • Possibility of processing and monitoring accounting management – accounting balance.
  • Billing assistance.
  • Possibility of reporting - statistics according to the customer's request.
  • Be part of the management team of the "Emergency-line".
  • Processing the customer's various requests by giving customer satisfaction.
  • Respect for good manners and correct attitude on the part of the customer.
  • Minimum 2 years of experience in a similar position (client complaints food & non-food)
  • Dynamic, rigorous, logical, coherent, attentive, organized and precise.
  • Sense of priorities
  • You know how to show initiative, autonomy, flexibility and the ability to adapt and know how to live.

Qualifications

Experiences and qualifications :

  • Languages : Dutch perfect command,+ good knowledge of French / English
  • Good command of MS Office (Word, Excel, PowerPoint, Outlook, Gmail).
  • You demonstrate teamwork skills
  • You are solution-oriented and quick in the execution of corrective actions inherent to the activity
  • Autonomous
  • Position requiring on-site and customer-site visits.
