POSITION DESCRIPTION

The Clinical Team Lead supervises and supports the clinical team, ensuring operational efficiency and excellence in patient care. This role involves managing clinical workflows, PTO coverage, backlog management, and mentoring new hires. The Clinical Team Lead also monitors daily team productivity, addresses workflow issues, and collaborates with cross-functional teams to ensure alignment with organizational goals. As a leadership contact, this role requires daily account visibility, investigation of clinician-reported issues, and the management of workflow errors and escalations. Additionally, the Clinical Team Lead is responsible for developing team members through mentoring, re-education, and performance tracking.

KEY RESPONSIBILITIES

  • Team Supervision and Operational Management
    • Oversee the daily activities of the clinical team, ensuring tasks are completed efficiently and to a high standard.
    • Monitor and manage the team’s daily productivity, ensuring performance targets are met and operational efficiency is maximized.
    • Approve the team’s PTO and create coverage plan for assigned accounts.
    • Manage backlog situations by creating plans of action for accounts that are more than 48 hours behind.
  • Mentorship and Training
    • Act as a mentor for new hires, providing guidance, support, and training to ensure full integration into the team.
    • Provide ongoing feedback and mentorship to promote professional growth for all team members.
    • Regularly review performance metrics and conduct re-education sessions when necessary.
  • Leadership and Support
    • Rotate into the call schedule as a leadership contact and manage the on-call spreadsheet.
    • Investigate clinician-reported issues to determine if they result from incorrect processes by the team or require escalation to management for a resolution.
  • Workflow and Account Management
    • Review case list views daily, identifying and escalating priority reports [>48hrs old, alerts] to the team for prioritization, ensuring we meet our client SLAs.
    • Ensure that all client emails are handled promptly and escalate issues if necessary.
    • Manage workflow issues experienced by the clinical team and escalate true errors or roadblocks to the Clinical Operations Manager.
    • Appropriately escalate concerns as necessary. When escalating issues, provide comprehensive context regarding the investigate to ensure clarity and facilitate effective resolution
    • Collaborate with other departments, such as Admin to ensure clinical workflows align with broader company goals.
    • Handle password resets for the clinical team.
    • Ensure all clinical documentation, including clinical preferences and alert protocols, is up to date.
    • Supporting report processing alongside their teams.
  • Error and Data Management
    • Manage failed export and report-uploading error cases, ensuring they are addressed and resolved promptly.
    • Ensure that all data processes are handled efficiently, escalating issues as necessary to avoid operational disruptions.
  • Audit Review and Conflict Resolution
    • Review monthly audits of the team’s performance to ensure high-quality standards are maintained.
    • Provide constructive feedback, track improvements, and identify areas for re-education or additional training.
    • Serve as the primary point of contact for resolving conflicts within the team and fostering a positive, collaborative work environment.


QUALIFICATIONS

  • Strong understanding of clinical workflows, backlog management, and process improvement.
  • Ability to effectively mentor, educate, and lead a team, ensuring high performance and engagement.
  • Proficient in managing workflow tools, clinical systems, and reporting tools.
  • Strong communication and conflict-resolution skills, with the ability to collaborate with other departments and escalate issues when necessary.
  • Highly organized with strong multitasking abilities.
  • Bachelor's or associate degree required OR experience in a related field—nursing, medicine, electronics, or engineering.
  • Successful completion of a cardiac device rhythm management course or equivalent experience.
  • 2+ years of recent implanted cardiac device management experience with knowledge of all manufacturer programmers.
  • 3+ years cardiology experience, cardiac electrophysiology preferred.
  • Experience with interrogating and interpreting device diagnostics for all four major manufacturers (Medtronic, Abbott/St. Jude, Boston Scientific, Biotronik).
  • Cardiac rhythm management industry training and experience preferred.
  • Certified Rhythm Analysis Technician (CRAT) required prior to employment commencement date.
  • Additional preferred certifications—Certified Cardiographic Technician (CCT), Registered Cardiac Electrophysiology Specialist (RCES), International Board of Heart Rhythm Examiners (IBHRE) Certifications (CCDS, CEPS, CDRMS) also preferred, prior to employment date. 
  • Proficiency with collaboration applications and software (Microsoft Office Suite, Teams).
