The Template Administrator will be responsible for creating, maintaining and validating updates to provider templates across all specialties within the Access Center, ensuring adherence to template governance guidelines. The Template Administrator will monitor daily schedule change requests to meet service standards. This position will partner with Providers, Practice Managers, Supervisors, Capacity Planning Analysts and/or Schedulers to identify the most efficient, streamlined appointment scheduling process and provides template build recommendations.

JOB DUTIES AND RESPONSIBILITIES:

  • Builds, maintains, and modifies provider templates for all assigned specialties within the Access Center in accordance with service standards.
  • Ensures provider templates are built and maintained per the process guidelines established by the SLPG Access Governance Council.
  • Works with Capacity Planning Analyst and Senior Director, Operations Excellence to build a process to capture provider ambulatory hour expectations/targets. Maintains responsibility of this process through collaboration with SLPG practice administration and clinical leadership.
  • Collaborates with SLPG practice administration and clinical leadership on template optimization through the use of Epic Cadence functionality and advises on best practices.
  • Works collaboratively with practice operations, Access Center operations, and IT to ensure effective template design.
  • Collaborates with practice, Access Center, and technical stakeholders to enhance patient self-scheduling for both patients and SLPG practices.
  • Partners with Capacity Planning Analyst to identify and make recommendations to Providers and Practice Managers of suggested template enhancements and patient access opportunities and implement template enhancement opportunities.
  • Collaborates with practice administration and clinical leadership to advise on template best practices.
  • Communicates status of change requests to Providers, Practice Managers and Access Center staff.
  • Monitors schedules to ensure templates are being utilized as designed. 
  • Works with Epic Analyst (Decision Tree) and Epic Cadence Team to optimize functionality of systems.
  • Recommends improved processes, including enhanced system functionality, that address specific clinical, operational and business critical success factors.
  • Provides technical and administrative support to the scheduling teams.
  • Other duties as assigned.

PHYSICAL AND SENSORY REQUIREMENTS:

Sit up to 6 hours per day; 1 hour at a time.  Stand up to 2 hours per day; 1 hour at a time.  Walk 2 hours per day; 10 minutes at a time.  Consistently lift, carry and push objects up to 10 lbs.  Occasionally lift, carry, push objects up to 75 lbs. must have the ability to frequently use hands/fingers, and frequently stoop/bend.  Must have ability to reach above shoulder level.  Must have the ability for seeing as it relates to general vision, near vision, and peripheral vision.  Must have ability to hear as it relates to normal conversation.

EDUCATION: 

High school diploma required.

Associate’s or Bachelor’s degree preferred.

TRAINING AND EXPERIENCE: 

  • Minimum of two years of scheduling experience in contact center required.

  • Minimum of one year of template experience required.
