Job description

Onboarding Administration
· Oversee the end-to-end onboarding process for new workers/candidates, ensuring compliance with company policies and procedures as well as undertaking various employment-related checks (e.g. criminal records, other clearance as required).
· Responsible for communicating with new workers/candidates, as well as sending follow-up reminders & providing guidance throughout the onboarding process.
· Coordinate the completion of necessary documents, forms and certifications; work closely with Recruitment/Placement team and assist with pre-filling of onboarding documents for various employers when placed for various roles.

Follow-up and Reference Checks
· Conduct reference checks (verbally or via email) and follow-up on missing documentation or qualifications.
· Ensure thorough verification of candidate credentials according to company policy and to meet requirements from various employers.

Logistics Management
· Responsible for arranging all travel and accommodation logistics (flights, car hire, hotel bookings) for candidates, ensuring a seamless transition to their new roles.
· Manage various logistical details to enhance the overall onboarding experience.

Timesheet and Credential Management
· Monitor and manage timesheets, ensuring accuracy and timely submission. Check information prior to forwarding to Accounts team for payment/processing of timesheets.
· Maintain up-to-date records of credentials and qualifications, working directly with candidates to manage expiration dates and renewals. Send regular reminders for documents that are nearing expiry and assist candidates with pre-filling of new/renewed forms where appropriate.

Profile Support and Data Entry
· Support the creation and maintenance of candidate profile and tracking their preferences for various roles, credentialing document expiry, etc.
· Perform data entry tasks proactively, accurately and efficiently while communicating with the Recruitment/Placement team and the Accounts/Payroll team.

Placement Coordination & Support
· Assist in the coordination of candidate placements. Ensure the candidates' experience and support for each role is seamless.
· Provide ongoing support to candidates throughout their onboarding journey, as required, e.g. checking how the new roles are going. 
· Send feedback forms to candidates and employers at the end of placements.

Business Rewards:
· Implement and manage business rewards programs for employees, based on work completed/timesheets submitted.
· Monitor and communicate rewards and recognition initiatives with employees, and contribute to a positive work experience for all candidates.

Quality control/audits:
· Participate in internal & external audits (2-4 times per year) to ensure that onboarding, credentialing, placement support processes are followed as per company policy and according to ISO certification
