Job Description

We’re seeking a highly organized and tech-savvy Executive Assistant to join our fast-paced cybersecurity consultancy. In this role, you’ll be the linchpin of our operations, managing complex schedules, coordinating client communications, and streamlining administrative processes. Responsibilities
  • Masterfully manage and optimize complex calendars for multiple client projects, ensuring seamless scheduling and efficient time management
  • Coordinate high-stakes meetings, calls, and appointments with precision, facilitating smooth communication between our team and clients
  • Assist in streamlining administrative tasks related to payroll and contractor payments, contributing to the company’s financial operations
  • Collaborate on creating and managing professional invoices for clients, ensuring accuracy and timeliness
  • Implement and maintain a robust system for prioritizing and tracking tasks and deadlines across various projects, enhancing overall productivity
  • Support the preparation and organization of critical materials for SOC 2 and ISO 27001 certification processes, contributing to our core service offerings
  • Handle a diverse range of general administrative duties to support business operations, adapting to the evolving needs of a growing consultancy
Requirements
  • Exceptional organizational skills with a proven ability to manage complex schedules and prioritize effectively in a fast-paced environment
  • Proficiency in modern calendar management and scheduling tools, with a knack for optimizing productivity through technology
  • Experience with or a strong willingness to quickly learn payroll and invoicing software (e.g., Gusto, Xero)
  • Meticulous attention to detail coupled with the ability to multitask and adapt to changing priorities
  • Excellent written and verbal communication skills, capable of interacting professionally with clients and team members
  • Basic understanding of or keen interest in cybersecurity and IT concepts, with a passion for learning and staying current with industry trends
  • Demonstrated ability to work independently and proactively in a remote setting, taking initiative and problem-solving creatively
  • Comfort with handling sensitive information related to cybersecurity projects and certifications, maintaining the highest standards of confidentiality
  • Flexibility to work 20 hours per week with the potential for increased hours as the company grows
