Job description

This is a remote position.

Schedule:

  • 40 hours per week
  • Monday-Friday, 8AM - 4PM Mount Waverley, VIC
  • Includes 30 minutes paid break

Job Description

Step into an exciting role as an Administrative Assistant in a fast-paced, creative environment where no two days are the same! You’ll be at the heart of our client’s operations, playing a crucial role in managing the post-sale workflow for a wide array of custom merchandise projects. From uniforms to promotional items, you’ll ensure each order moves smoothly through the production process, maintaining our client’s reputation for quality and timeliness. This position offers a unique blend of customer service, project management, and financial tasks, providing you with a diverse skill set and invaluable experience in the dynamic world of custom merchandise production.

Responsibilities:
  • Manage post-sale workflow using the Hoops CRM system (Training can be provided)
  • Allocate paid jobs to appropriate production queues
  • Monitor and manage timeframes for each step of the production process
  • Ensure timely progression of jobs through various stages (e.g., artwork, mock-up)
  • Communicate with external stakeholders via email and occasionally by phone
  • Perform basic bookkeeping tasks, such as matching purchase orders with invoices
  • Use Xero accounting software for financial record-keeping
  • Work autonomously to manage multiple tasks and solve problems as they arise
Requirements:
  • 3+ years of general admin assistance experience or similar role
  • Familiar with the Xero accounting software
  • Experience with CRM systems (specific Hoops knowledge not required)
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills in English
  • Ability to work independently and take initiative
  • Proficiency in email communication and basic phone etiquette
  • Adaptability to learn new software systems quickly
