Job Overview


The AU Executive Assistant will provide proactive general and administrative support to executives. The ideal candidate will manage a wide range of administrative tasks, coordinate meetings and travel arrangements, and ensure seamless communication both internally and externally. The Executive Assistant will be a key player in maintaining efficient office operations and supporting executives in achieving their goals.


Job Description:
  • General & Administrative Support: Provide comprehensive administrative support, including managing documents, handling inquiries, and organizing day-to-day office functions.
  • Inbox and Calendar Management: Effectively manage the executives' inbox, prioritize emails, and schedule meetings and appointments. Ensure optimal time management by keeping track of deadlines, appointments, and important events.
  • Travel and Event Coordination: Organize and coordinate travel logistics, including flight bookings, accommodation, transportation, and itineraries. Assist in organizing internal and external events, meetings, and conferences, ensuring smooth execution and detailed planning.
  • Business Reports, Presentations, and Memos: Prepare and assist in the creation of business reports, presentations, and memos for executives. Ensure all documents are formatted, accurate, and delivered on time.
  • Communication on Behalf of Executives: Act as the point of contact between executives and internal/external stakeholders. Professionally communicate on behalf of executives, managing inquiries and providing timely information.
  • Ad-hoc Support: Provide additional support to executives as required, including project management, document handling, and coordinating with other departments.


Requirements
  • At least 2 years of experience as an AU Executive Assistant.
  • Attention to Detail: Ability to review meticulously and manage tasks, ensuring accuracy and quality in all work.
  • Critical Thinking: Strong problem-solving skills, with the ability to analyze situations, identify challenges, and develop effective solutions.
  • Proactive: Self-motivated and resourceful, taking initiative to anticipate needs and address issues before they arise.
  • Technical Proficiency: Skilled in Google Workspace and other relevant technology tools to enhance productivity and streamline processes.
  • Business Reporting: Experience in creating and presenting clear, insightful business reports, providing actionable data and supporting decision-making.
