Job description

This is a remote position.

Role Name: Mental Health Practice Administrative Coordinator

Schedule:

Monday to Friday: 9:00 AM - 12:00 PM and 3:00 PM - 6:00 PM
Sunday: 9:00 AM - 1:00 PM

Flexibility:
This schedule may require occasional adjustments. If the workload is high on a particular day, the individual must ensure that all customer issues, scheduling, and leads are fully addressed before ending their workday.

Job Description

We’re seeking a detail-oriented Administrative Coordinator to join our dynamic mental health practice. In this role, you’ll be the cornerstone of our practice’s operations, managing crucial administrative functions that directly impact patient care and practice efficiency. This position offers an exciting opportunity to work in the mental health sector while utilizing your administrative expertise to support both clients and healthcare professionals.

Responsibilities
  • Handle incoming calls and text messages professionally, serving as the first point of contact for clients
  • Manage appointment scheduling and coordinate therapist availability to optimize practice efficiency
  • Process new client intake, including gathering demographics and medical history
  • Maintain and update Electronic Medical Records (EMR) with accuracy and attention to detail
  • Coordinate staff schedules and maintain up-to-date availability calendars
  • Process payroll for practice staff
  • Monitor and respond to client communications in a timely manner
  • Ensure smooth daily operations of the practice’s administrative functions



Requirements
  • Proven experience with Electronic Medical Records (EMR) systems
  • Strong proficiency in scheduling software and Microsoft Excel
  • Excellent customer service skills with a compassionate approach
  • Experience in staff scheduling and coordination
  • Knowledge of payroll processing and administrative procedures
  • Professional phone manner and written communication skills
  • Ability to maintain strict confidentiality and handle sensitive information
  • Strong organizational skills and attention to detail
  • Experience in healthcare administration preferred
  • Reliable internet connection and quiet work environment
