Job description

Overview:

SageSure, a leader in catastrophe-exposed property insurance, is seeking a reliable, organized Office Operations Associate (OOA) to collaborate with team members in providing day-to-day operational support in our Facilities Operations Department, including administrative, technology, purchasing, mail handling and processing.

 

What you’d be doing:

  • Provide front-line administrative/reception duties at our facility 5-days a week.
  • Perform critical facility operations task including answering phones (limited), sorting and sending mail (daily), and liaising with vendors (daily).
  • Daily Mail Handling and Mail Processing.
  • Manage the facility's maintenance and upkeep, including vendor coordination and scheduling.
  • Oversee and manage facility service contracts.
  • Manage and track facility expenses.
  • Ensure the facility meets safety and regulatory compliance requirements. 
  • Manage and track facility equipment and supplies.
  • Tracking equipment for shipping and creating FedEx labels.
  • Assist local team members with any Office Operations support requests.
  • Maintain IT and Facilities’ inventories for national procurement.
  • Process any needed purchases of inventory or supplies.
  • Provide operational support for local events and meeting planning.
  • Provide support to executives and guests as needed.
  • Ensure that all visitor arrangements are coordinated with their executive assistants throughout the organization.
  • Purchase and maintain the stocking of healthy snacks and beverages in kitchen; must be able to lift up to 15 pounds at times.
  • Assist in monthly departmental metrics reporting and provide ad-hoc usage reports as requested on key systems for the department.
  • Willingness to carry a company mobile phone for after-hours responses to site security issues or emergency contacts.
  • Willingness to be cross trained to provide support services where needed.
  • Performs other duties as assigned.

 

We’re looking for someone who has: 

  • High school diploma or equivalent required.
  • 2+ years' experience in an administrative capacity, with a preference for experience in facilities management.
  • Valid driver’s license and personal vehicle (we will request utilizing this vehicle for certain tasks).
  • Strong proficiency with Microsoft software including Outlook, Word, Excel, SharePoint, and PowerPoint.
  • Experience using security system access software.
  • Project management skills to organize tasks and ensure timely completion. 
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail. 
  • Attention to detail, and diplomacy in handling high stress situations.
  • High energy and able to provide exceptional service and support.
  • Ability to project a professional, businesslike image in the office including proper business attire, language, body language and demeanor.
  • Strong data analytic skills to interpret and report on operational metrics
  • Proficiency in Microsoft PowerPoint for presentation preparation and reporting.

 

Highly preferred candidates also have: 

  • Strong Proficiency with Microsoft software including Outlook, Word, Excel, SharePoint and PowerPoint
