PURPOSE OF POSITION

The Director of 3(16) Fiduciary Services is a strategic leadership role responsible for overseeing and managing the administration and fiduciary oversight of retirement plan operations in compliance with ERISA Section 3(16). The Director manages and mentors a team in support of departmental goals. This position ensures operational excellence, client satisfaction, and adherence to regulatory requirements while driving the growth and effectiveness of the 3(16)-service offering. 


PRIMARY DUTIES AND RESPONSIBILITIES

  • Develop and execute the strategic vision for the 3(16) service line to align with organizational goals.
  • Lead and mentor a team of professionals to ensure high performance and engagement.
  • Establish and maintain policies, procedures, and workflows to ensure consistent and efficient delivery of      services.
  • Collaborate with senior leadership to identify opportunities for service enhancements and business growth.
  • Manage all aspects of the 3(16) fiduciary services, including plan documentation, compliance, and operational responsibilities.
  • Ensure timely and accurate processing of key functions such as eligibility review, contribution monitoring, distribution approvals, and plan amendments.
  • Oversee the timely preparation and submission of required government filings (e.g., Form 5500).
  • Conduct regular team meetings, provide performance feedback, and foster a collaborative work environment.
  • Ensure adequate training and development opportunities for team members to maintain compliance expertise.
  • Serve as the primary point of  contact for key clients, providing fiduciary expertise and guidance.
  • Partner with plan administration management and sales teams to address client inquiries and resolve complex issues.
  • Conduct regular client reviews to assess service satisfaction and identify opportunities for improvement.
  • Stay abreast of regulatory changes affecting 3(16) fiduciary services and implement necessary adjustments.
  • Monitor and manage risks associated with plan operations, ensuring compliance with all applicable laws and regulations.
  • Act as a liaison with legal and compliance teams to address fiduciary matters.
  • Collaborate with sales and marketing to review and update marketing materials related to 3(16).



Requirements

COMPETENCIES REQUIRED

  • In-depth knowledge of ERISA regulations, retirement plan administration, and fiduciary responsibilities.
  • Proficiency in retirement plan management systems and reporting tools.
  • Strong verbal and written communication skills and the ability to build rapport with others remotely while working productively with limited in-person interaction.
  • Display keen attention to detail for accurate applicant documentation and metrics.
  • Demonstrate sound judgment when making decisions and operate with discretion and integrity.
  • Ability to assess issues as they arise, maintain composure under pressure, and develop thoughtful and appropriate responses.
  • Excellent communication and interpersonal skills, with the ability to build relationships with clients and internal stakeholders.


EDUCATION AND QUALIFICATIONS

  • High school diploma or GED required 
  • Bachelor’s degree in business, finance, or a related field preferred
  • Industry certification (e.g., QKA, QPA, CPC, CRPS) preferred or willingness to obtain ASPPA QKA designation or NIPA equivalent
  • Minimum of 5 years of experience in retirement plan administration, including 3(16) fiduciary services
  • Demonstrated leadership experience with a strong track record of managing teams and optimizing operational efficiency in dynamic, fast-paced environments


REMOTE WORKING REQUIREMENTS

  • Be online and available to work during designated business hours in local time zone
  • Accustomed to using Microsoft Teams (or similar virtual-meeting applications) to meet with colleagues regularly on video and use the chat feature for quick communications. We utilize many Microsoft Teams features (such as Channels and file storage) for announcements, relevant conversations, and file sharing. Familiarity with Microsoft Teams is a plus
  • Accustomed with file-storage and file-sharing tools such as Microsoft SharePoint
