We are seeking an experienced and highly skilled Event Manager to join our world-class Event Management team. This role is critical in overseeing and organizing events from conception to completion, ensuring every detail reflects the exceptional standards of Tony Robbins’ brand. The Event Manager will lead the planning, logistics, and execution of multiple live, virtual, and hybrid events, ranging from 500 to 50,000 attendees. This role requires someone who can balance strategic vision with meticulous attention to detail, fostering collaboration across teams and managing relationships with vendors, venues, and production crews. 

The ideal candidate is a proactive problem-solver with exceptional organizational abilities and thrives in fast-paced, high-pressure environments. They are passionate about personal development and have a track record of producing world-class events. 

 

RESPONSIBILITIES 

Event Management: 

  • Oversee all aspects of event planning and execution, including venue selection, contracting, and logistics for live, virtual, and hybrid events. 

  • Act as the main point of contact (POC) for venue management, logistics, and food and beverage (F&B) orders. 

  • Manage pre-event, onsite execution, and post-event follow-up for events ranging from 500 to 50,000 attendees. 

  • Conduct site selection and site visits, including hotels and independent activities, ensuring venues meet event standards. 

Budget Management: 

  • Create, manage, and reconcile event budgets, optimizing spending while adhering to financial targets. 

  • Collaborate with the Production Financial Analyst to ensure fiscal responsibility and post-event reconciliations. 

Team Leadership & Vendor Management: 

  • Oversee event staff of 200-500+ people, ensuring they are well-supported, trained, and prepared to deliver at the highest level. 

  • Build and maintain strong relationships with vendors, contractors, and venue managers. 

  • Negotiate contracts for accommodations, meeting spaces, F&B, equipment, and other event elements to ensure favorable terms. 

Logistics Coordination: 

  • Manage complex logistics, including travel arrangements, hotel bookings, rooming lists, and scheduling activities for staff and clients. 

  • Coordinate speaker requirements, including travel, contracts, and technical needs, ensuring a seamless hand-off to production teams. 

Technical Production Support: 

  • Collaborate with audio-visual (A/V) vendors and technical production teams to ensure seamless execution of sound, lighting, and other production elements. 

  • Develop an educated understanding of technical production, with a willingness to learn and support where needed. 

Process & Systems Implementation: 

  • Utilize systems and procedures, including Asana boards and Slack communication, to streamline event planning and execution. 

  • Support Accounts Payable (AP) interactions, including submitting payments, invoices, and expenses for employees, contractors, and vendors. 

  • Procure and manage event supplies, comparing bids and coordinating shipping. 

Post-Event Analysis: 

  • Evaluate the success of each event through reporting and analysis, identifying areas for improvement and applying insights to future events.

Requirements 

  • 5+ years of experience in live/virtual/hybrid event management, including multiple simultaneous events. 

  • Preferred experience in personal development or celebrity/speaker event management. 

  • Ability to travel approximately 50% of the time (may be higher depending on the event schedule). 

  • Skilled in budget management, Excel, and project management tools. 

  • Strong organizational skills with a keen attention to detail and ability to multitask. 

  • Demonstrated ability to manage vendors, crew, and venue personnel on large-scale events. 

  • Experience with contract negotiation and vendor management. 

  • Ability to handle high-pressure situations with professionalism and poise. 

  • Exceptional written and verbal communication skills, with the ability to professionally interact with suppliers, attendees, speakers, and talent. 

  • Willingness to work irregular hours, including nights, weekends, and holidays, as required by event schedules.
