What You Will Do - Essential Functions

The HR People Services Coordinator plays a pivotal role in our Human Resources team, ensuring an excellent customer service experience for our team members and candidates including providing a consistent and positive onboarding experience for new team members and current team members transferring to another role. This position is responsible for managing and enhancing all aspects of the onboarding process from initial contact to integration into their roles ensuring talent readiness and executes HR transactions and provides administrative support for the day-to-day HR operations. The role requires individuals to be highly organized, detail-oriented, have excellent communication skills, and a passion for fostering a welcoming and inclusive environment.

  • Onboarding Process Management - Act as the primary point of contact for new hires, ensuring a smooth transition from offer acceptance to their first day by managing the due diligence process, completing necessary hiring packages, and verifying required documentation (e.g., background checks, I-9s, drug screens, licensure).
  • Employee Record Maintenance & Compliance - Maintain confidential employee files in compliance with employment laws, licensing, and accreditation requirements. Ensure accuracy of employee records and timely updates in HRIS and other regulated systems.
  • Vendor & Stakeholder Collaboration - Partner with talent acquisition, IT, and hiring managers to ensure a seamless onboarding experience. Manage relationships with vendors for background checks, employment verification, drug testing, and medical clearance services.
  • Administrative & HR Support - Provide exceptional service to employees by managing the HR inbox, responding to inquiries, handling HR lifecycle transactions (e.g., promotions, transfers, offboarding), and assisting with various HR-related documents, reports, and ad-hoc projects.

    • High School Diploma
    • 2+ years of experience in onboarding or HR.
    • Strong organizational skills.
    • Excellent verbal and written communication abilities.
    • Ability to build rapport and establish trust with new employees and stakeholders.
    • Familiarity with HR software and tools (e.g., HRIS, applicant tracking systems, collaboration platforms).
    • Demonstrated ability to handle sensitive information with discretion and confidentiality.
    • Knowledge of employment laws and compliance related to onboarding, background checks, and drug screens.
    • Demonstrated proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint

    • Working Conditions:
    • Work is performed from home with company-provided equipment. Sitting for long periods of time is expected and use of fingers and hands for typing is necessary.
    • A quiet workspace with minimal background noise for calls.
    • High-speed internet service (cable or fiber optic) with minimum download Speed of 20 Mbps, Upload Speed of 5 Mbps, and Maximum Latency of 100 milliseconds (must be installed before starting).
