About the Role
The Financial Operations Manager is responsible for overseeing the financial, contractual, and operational functions of the organization in a fully remote environment. This role ensures seamless delivery of services, operational efficiency, and strategic alignment with organizational goals. The Operations Manager plays a pivotal role in process improvement, financial oversight, and team leadership while driving customer satisfaction and sustainable organizational growth.
As a key member of the senior leadership team, the Financial Operations Manager collaborates closely with the Executive Director to manage financial, administrative, IT, and compliance functions. This role emphasizes fostering a positive and inclusive culture while identifying opportunities for innovation and operational excellence.
What You Will Be Doing
• Prepare financial statements for review by the CEO and Clinical Manager.
• Oversee bookkeeping functions, including reconciliation of accounts, ensuring revenue aligns with contracts and add-ons.
• Monitor accounts receivable (A/R), follow up on overdue invoices, and develop payment arrangements as necessary including add-on services.
• Prepare budgets and forecasts in consultation with the CEO.
• Generate financial reports, analyze trends, and provide actionable recommendations for improvement.
• Assist with preparing invoices, processing vendor payments, and reviewing subcontractor payouts.
• Collaborate with CEO and Clinical Manager to draft, review, and manage customer contracts and change requests, ensuring alignment with organizational policies.
• Conduct annual reviews of contracts to identify gains, losses, and areas for improvement; provide recommendations to the CEO.
• Maintain up-to-date customer records, including contract schedules, service add-ons, and financial changes i.e. scheduled increases, additional services, end dates, etc.
• Prepare and manage customer usage reporting, providing insights and recommendations based on the data.
• Manage non-clinical vendor relationships, ensuring cost-effectiveness and service quality.
• Ensure compliance with lease agreements, liability insurance, and vendor contracts.
• Monitor and update operational policies and procedures to drive process improvements and scalability.
• Supervise one direct report, providing mentorship, guidance, and performance feedback.
• Assist in resolving escalated customer issues, ensuring exceptional customer experiences.
• Draft annual EFAP (Employee and Family Assistance Program) reports for customer review.
• Ensure operational compliance with privacy regulations, organizational policies, and vendor agreements.
• As part of a small team, this role requires flexibility to occasionally assist with tasks outside primary responsibilities, including supporting client services in the absence of dedicated team members.

What You Will Need
• Degree, diploma or other education/training in accounting, finance, or a related field.
• Minimum of 3–5 years of experience in finance, contract, and operations management.
• CPA certification (or significant progress toward certification) preferred.
• Supervisory or management experience.
• Proven experience drafting and managing customer contracts, including handling amendments and annual reviews.
• Strong financial acumen, including data analysis and reporting - Strong knowledge of accounting standards and financial management.
• Exceptional attention to detail and organizational skills.
• Business acumen with a focus on strategic thinking, problem-solving and process improvement.
• Experience with QuickBooks and MS Office Suite.
• Familiarity with CRM systems, ERP platforms, or data analysis tools is highly desirable.
