Administrative Assistant (Part Time, Remote – Canada)

About The Role

As a Remote Executive Assistant, you will provide critical support to the Director and senior staff, ensuring seamless day-to-day operations. You’ll manage schedules, coordinate meetings, and assist with projects, all while maintaining a high level of professionalism and confidentiality.

This is a part-time position.

Key Responsibilities

  • Manage and maintain the Director’s calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations as needed.
  • Coordinate logistics for virtual meetings, events, and conferences, including agendas, minutes, and follow-ups.
  • Conduct research and gather information on various topics as required.
  • Monitor and respond to emails and phone calls, ensuring timely communication with stakeholders.
  • Assist with client-related projects, including tax documentation collection and follow-ups.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Provide general support to other team members and departments as needed.

Qualifications

  • Diploma or degree in business administration or a related field.
  • 3+ years of experience as an Executive Assistant, preferably in accounting or professional services.
  • Exceptional organizational and time management skills, with the ability to prioritize and meet deadlines.
  • Excellent written and verbal communication skills, with a professional demeanor.
  • Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides).
  • Strong attention to detail and the ability to proofread and edit documents accurately.
  • Knowledge of accounting software and procedures is a plus.
  • Ability to work independently and effectively in a remote environment.
