Job description

Overview

We are seeking a highly organized and detail-oriented individual to manage our CRM system (Zoho One) and assist with various tasks related to our sales pipeline and business/sales management. The ideal candidate will be responsible for ensuring smooth management of the sales process, from listing new businesses for sale to post-completion follow-ups.

Note: Only candidates who meet the required qualifications and proficiency levels in the specified tools would be considered, as these criteria are NON-NEGOTIABLE.

About The Role

  • Compensation: 540 AUD/month (paid twice a month)
  • Schedule: 24hrs/week, Sydney Time
  • Availability: Start ASAP

Key Responsibilities

  • Manage and optimize Zoho One CRM, including data entry, organizing deals, clients, sellers, buyers, and referrers.
  • Oversee the sales pipeline, ensuring key dates, such as settlement and retention milestone dates, are tracked and managed efficiently.
  • Prepare and send out Non-Disclosure Agreements (NDAs) to prospective buyers and follow up on any queries related to these agreements.
  • Proactively source and find new prospective buyers for the business/rent rolls.
  • Handle inbound inquiries resulting from campaigns, including those from Mailchimp broadcasts, and input them into Zoho CRM.
  • Assist with follow-up on prospective buyers, qualify leads, and ensure timely follow-up on any open opportunities.
  • Clean and organize data in Microsoft Excel for analysis and reporting purposes.
  • Provide daily catch-ups on ongoing deals, reviewing active buyers and ensuring the timely progress of each sale.
  • Support in building more effective processes within Zoho CRM to improve sales operations and overall efficiency.
  • Assist in time management and daily task prioritization to support the overall management of the business.

Qualifications

  • Bachelor’s degree relevant to the role
  • Minimum of 3+ years of experience as a Virtual Assistant in a similar role
  • Excellent written and verbal English communication skills
  • Proficiency in MS Office 365, particularly MS Word and MS Excel.
  • Strong experience with Zoho CRM or similar CRM platforms.
  • Excellent time management and organizational skills.
  • Ability to follow up and qualify prospective buyers effec tively.
  • Familiarity with Adobe tools for sending NDAs and other documents.
  • High attention to detail and ability to manage multiple tasks simultaneously.

The Candidate Must Be Proficient In The Following Tools

  • Zoho CRM, Spark Mail (not essential), MS 365, Adobe Acrobat, Trello, MailChimp
