Our Business Events Solutions group is seeking a number of Meeting Event Coordinators (Temporary - Part Time) for a major summer initiative with large financial client! If you are interested in event management and want to learn more, keep reading!

The Meeting Coordinator is the primary client liaison for assigned travel programs for a large financial client over the 2025 Spring/Summer. These individuals manage the overall coordination and execution of an entire travel program from an operational perspective. This role works closely with client contact to understand and meet program objectives/outcomes.

This role is hybrid – and, based primarily out of our Fenton, MO location. Virtual candidates outside of the surrounding St. Louis region will be considered.

Are you passionate about event management and ready for an exciting opportunity with a leading business events team? Our Business Events Solutions group is hiring Meeting Event Coordinators to support a major summer initiative with a large financial client!

Role Duration:

  • Start Date: February 24, 2025

  • End Date: July 2, 2025

Location:

  • Hybrid (Fenton, MO): St. Louis-based candidates are required to work 2 days per week in the office and attend training in person.

  • Virtual Candidates: Considered if located outside the St. Louis region.

About the Role:

As a Meeting Event Coordinator, you’ll be the main point of contact for assigned travel programs. You’ll oversee the coordination and execution of travel programs for a financial client, ensuring seamless planning and delivery. This is a fantastic chance to build your event management skills with hands-on experience.

Work Hours Overview:

  • February: 20 hours (Training)

  • March: 50 hours

  • April: 50 hours

  • May: 110 hours

  • June: 79 hours

What You’ll Do:

Project Planning (50%)

  • Lead project teams and foster a collaborative, positive environment.

  • Assist in creating the Scope of Work (SOW) and outline key deliverables.

  • Develop project timelines and budgets, ensuring all details are well-managed.

  • Familiarize yourself with Maritz technology platforms and maintain detailed project documentation.

Financial Management (25%)

  • Prepare and monitor project budgets.

  • Communicate financial updates to the client and internal teams.

  • Manage supplier payments and finalize billing with accounting.

Relationship Management (25%)

  • Serve as the primary contact for the client, ensuring their goals are met.

  • Maintain open, proactive communication between the client and internal teams.

  • Oversee project teams to ensure quality and successful execution.

What We’re Looking For:

  • Education: Bachelor’s degree or equivalent experience in hospitality, event management, or customer service.

  • Experience: 1-3 years in event planning or a related role preferred.

  • Skills:

  • Strong customer service and communication skills.

  • Ability to manage multiple projects and deadlines.

  • Proficiency in MS Word, Excel, and the ability to learn new tech tools.

  • Experience maintaining budgets and developing client relationships.
