Summary of Job Duties:
The Fiscal Support Manager plays a key role in the Department of Geriatrics and the Reynolds Institute on Aging (RIOA), reporting directly to the Administrator. This position manages daily operations, ensuring compliance with policies and streamlining processes to enhance supply chain and business efficiencies. As the Workday expert for the department, the manager also leads financial oversight, including monitoring expenditures, preparing variance reports, and authorizing procurement and grant proposals. Additionally, the role involves supporting faculty, coordinating operational improvements across satellite sites, managing contracts, developing budgets, and overseeing payroll adjustments and facilities management. The Fiscal Support Manager is a vital part of the RIOA Executive Leadership team and liaises with both internal and external stakeholders to foster collaboration and uphold departmental goals.

Qualifications:
  • Bachelor's degree in accounting, finance, math, business, or related field plus five (5) years of management/operations experience preferably in a healthcare setting. 

  • Proficient in Microsoft Office (Outlook, Word, and Excel), excellent communication/writing skills, and strong analytical skills.

Preferred Qualifications:

  • Master’s degree in business administration or accounting plus three (3) years of management, finance, and operations experience preferably in a healthcare setting. 

  • Completion of the UAMS Grants Management Certification Program.

  • Workday experience. 


Additional Information:

Responsibilities:

  • Directs day-to-day business operations of the department and institute.

  • Provides high-level support for faculty and trains staff on business workflow processes.

  • Focuses on implementing a value-added approach to streamline and improve business processes.

  • Serves as an approving authority for the department and institute on Workday transactions that include purchase requisitions, spend authorizations, and expense reports.

  • Reviews grant proposals and research protocols to ensure alignment with the missions of UAMS and the department and in compliance with institutional policies/procedures and funding agency guidelines.

  • Serves as a delegate for electronic signatory for grant applications submitted through MUSE.

  • Provides grants management support for principal investigators and research faculty in partnership with the Office of Sponsored Programs Administrative Network (OSPAN), Grants Accounting Office, and the Office of Research and Sponsored Programs (ORSP).

  • Optimizes operational efficiencies for supply chain management.

  • Facilitates resolution of operational issues and serves as the lead Workday resource expert for the department and institute.

  • Directs special projects and community outreach events to enhance external partners and stakeholders.

  • Reviews current operational processes and implements business improvement processes to maximize work output.

  • Processes Justification for Recruitment (JFR) for new faculty recruitment and FacFacts FTE allocations and assists with facilities management, RIOA website content updates, and RIOA newsletters.

  • Works closely with the Administrator in carrying out all financial responsibilities for the Department and Institute including annual budget preparation, capital budget requests, and monitoring of departmental expenditures across all funds to ensure accurate postings, preparation of monthly variance reports, and quarterly faculty incentives.

  • Processes Workday cost allocations, payroll accounting adjustments, and manual journal entries and generates Blackbaud foundation reports.

  • Reviews monthly grant reports to ensure expenditures align with the budget approved by the sponsor.

  • Implements resource optimization initiatives.

  • Participates in the UAMS Grants Management Program Alumni (GMPA) meetings and workshops to keep abreast of important updates in grants administration.

  • Reviews contracts in the NTRACTS management system including Revenue Contract Analysis (RCA).

  • Prepares financial/workforce budget forecasts and projections and analyzes data.

  • Initiates strategy planning and implements strategic initiatives for the department and institute.

  • Provides ongoing decision support and analytics and monitors the environment/market for future impact on change management.

  • Seeks opportunities to expand research infrastructure, community outreach programs, and educational efforts focusing on the aging population.

  • Directs process enhancement strategies for the seven Centers on Aging satellite sites located throughout the state of Arkansas.

  • Collaborates with other colleges and institutes and serves as a liaison to internal/external stakeholders and campus operations.

  • Collaborates with the integrated clinical enterprise on shared strategic initiatives and clinical service program development.

  • Serves as a member of the RIOA Executive Leadership team.

  • Assist with RIOA Advisory Board meetings, RIOA building-related events, Geriatrics conferences, and special projects.

  • Complies reports for internal requirements and for external agencies as necessary.

  • Attends relevant Workday training and other educational opportunities to enhance professional development within the department.

  • May perform other duties as assigned.
