Proposal Coordinator

Work closely with proposal managers to organize and coordinate proposal submissions for our federal programs. In addition, be involved in capture support and proposal preparation activities to prepare responses to federal solicitations.

Compensation & Benefits:

Estimated Starting Salary Range for Sr Proposal Support Specialist: $75k - $125k plus annual bonus.

Pay commensurate with experience.

Sr Proposal Support Specialist Responsibilities Include:

  • Work collaboratively and take ownership in the preparation and submission of industry leading direct award and competitive proposals/RFx at the direction of leadership and proposal managers.
  • Create and develop branded RFx templates following annotated outlines and L/M/C requirements and criteria from the solicitation documents.
  • Monitor government and third-party sites for RFx communications (SAM.gov, Govwin, PIEE, etc.)
  • Track amendments and clarifications to ensure the final proposal incorporates all required information.
  • Actively support proposal managers in responding to proposal requests in a high-volume environment, project-managing each response, and prioritizing strategic cases.
  • Support development and completion of proposal related forms, data calls, representations and certifications, bonds, LLC registration on SAM.gov and other sites.
  • Ensure that proposals are compliant and meet all submission instructions, including free of grammar, spelling, and typographical errors and are completed within page count.
  • Perform and lead word processing tasks and desk top production tasks using MS Word, Excel, and PowerPoint.
  • Coordinate with graphic designers and other CONOPS and solutions materials as part of production.
  • Production and assembly of documents for milestone color reviews as directed by leadership and proposal managers.
  • Coordinate and support meetings, perform scheduling, create review and other tasks at the direction of proposal managers.
  • Develop Color Team presentation decks to include compliance elements, timelines, assignment matrices, and debrief slides.
  • Deconstruct proposal contents and capture the material to CFED’s starter content library at the direction of proposal managers, senior technical writers, and library owners, utilize proposal automation tools including Visible Thread.
  • Perform file management and maintenance on SharePoint, including proposal closeout activities, and perform data entry/data integrity quality control on Salesforce.
  • Review and document strengths and weaknesses from all debriefs within the Debrief Matrix.
  • Performs other job-related duties as assigned.

Sr Proposal Support Specialist Experience, Education, Skills, Abilities requested:

  • Bachelor’s degree in business or marketing
  • 5 years relevant experience with 2 years proposal experience or a combination of education and experience.
  • APMP certification or Shipley training a plus.
  • Editing and templating competencies.
  • Strong skills in Microsoft 365 (Word, Excel, PowerPoint).
  • Strong command of English language and good communication skills.
  • Solid leadership, time management, and critical thinking skills.
  • Quick self-starter, team-oriented and able to work with different personalities and professional styles.
  • Experience in preparing RFP responses and/or project execution, with the focus on details and project management skills required for compliant, compelling proposals.
  • Must pass pre-employment qualifications of Cherokee Federal.
