This is a remote position.
We are seeking a highly organised and detail-oriented remote Personal Assistant to provide comprehensive administrative support to the CEO. This role requires a proactive and proactive individual with excellent communication and organisational skills. This is a part-time role requiring 5 - 10 hours per week.
Key Deliverables:
Respond to emails and Whatsapp messages within 4 business hours
Ensure all calendar entries have the correct invitees and location/zoom details etc.
Ensure the Director has all the info required, including meeting papers and correspondence, for each meeting in the diary
Ensure events are organised and run smoothly
Act as ‘Gatekeeper’ to the MD’s diary
Post socials and podcast info in a timely fashion
Maintain ‘Directors Dashboard’ of key management information
Role Responsibilities:
Ensure Director’s emails, diary and ‘To Do’ list are up to date
To respond to emails on the Directors behalf or refer them on the other or the Director if needed
Liaising with the team, suppliers and clients on behalf of the Director
Support the wider business with administrative tasks
Delegate work to the Team in the Director’s absence
Implement and maintain business processes and procedures
Post social content
Prepare podcasts for publication and post on socials and You Tube
Example Tasks:
Conducting research and presenting comparisons in spreadsheets
Collating information and updating ongoing project files and metrics
Preparing PowerPoint/Canva presentations for internal and external use
Creating and reviewing contracts on behalf of the Director
Sourcing and ordering items online, e.g., stationery, IT equipment, gifts
Writing, editing, and reviewing outgoing correspondence
Organising events and liaising with clients and other team members on a regular basis
