JOB TITLE: Documentation Specialist

RATE: PHP 208.33 per hour

Work Type: 

  • Remote/WFH

  • Part-time, 20 hrs/week

  • Project-based - 3 months

  • May conclude after the initial 3 months, depending on project completion.


Working Hours: TBD (usually US hrs | Night shift)
Target Start Date: January 2025



Job Summary 

We are seeking a highly organized and detail-oriented Documentation Administrator to manage and enhance our company’s documentation processes. The ideal candidate will ensure that all documentation—policies, procedures, and process manuals—is accurate, up-to-date, and easily accessible. This role involves collaboration with various departments to develop effective document management strategies and directly reports to the CEO. This is a part-time position, averaging around 20 hours per week, and may conclude after the initial 3 months, depending on project completion. Target start date is January 2025.


Key Responsibilities

  1. Document Management and Organization

  • Create, update, and maintain accurate documentation, including policies and procedures. 

  • Organize and store documents systematically to ensure easy access and retrieval.

  • Process Improvement and Standardization

    • Develop and refine documentation processes to improve consistency and efficiency. 

    • Collaborate with teams to identify gaps and ensure alignment with company standard

  • Attention to Detail and Quality Assurance

    • Review documents for accuracy, clarity, and compliance with established guidelines. 

    • Perform regular audits of documentation for updates or corrections.

  • Independent Initiative and Problem-Solving

    • Identify opportunities to enhance documentation processes independently. 

    • Proactively address and resolve documentation challenges to minimize workflow disruptions.

  • Cross-Team Collaboration and Support

    • Work closely with departments to gather input and verify the accuracy of technical or procedural information. 


    JOB QUALIFICATIONS/REQUIREMENTS:

    • Experience: Proven experience as a Documentation Specialist or similar role

    • Strong attention to detail and organizational skills. 

    • Excellent written and verbal communication abilities. 

    • Proficiency in document management software and technology.

    • Tech-savvy with the ability to quickly learn new software tools. 

    • Independent worker capable of managing tasks without close supervision. 

    • Knowledge in IT Glue is a plus but not required. 

    • A degree in communications, business administration, or a related field is preferred
