Position Description:
The Account Coordinator is a highly-motivated college graduate with exceptional organization skills and who thrives working as part of a team to convert leads to sales through the development of creative proposals, presentations and site itineraries while performing core administrative functions as the position may require day-to-day. Day-to-day, the Account Coordinator will operate small to medium size programs, takes care of small event requests, in addition to fulfilling ad-hoc tasks requested by the Director of Sales and Senior Vice President, Global Sales where necessary. Account Coordinator to be based in Massachusetts or Rhode Island, this is a Hybrid position, requiring at least (2) days per week out of the office.
Core Responsibilities:
•Coordinates the sales efforts in the development of creative, compelling proposals.
•Researches and organizes information pertaining to new venues and activities in the region
•Develops site itineraries and ensures flow for the Sales team
•Plan and operates Internal programs for hotel partners in tandem with BD efforts
•Manages client and hotel gift inventories and other vendors as needed
•Coordinates quarterly sales blitz and happy hours for hotel teams and clients
•Remains current on industry trends, local openings, new ideas and happenings
•Participates in internal training opportunities
•Creates accurate, up-to-date documentation using an established business file and database
•Operates programs assigned by DOEM
•Assists with program operations locally as needed
•Assists the Sales team in proposal writing, vendor reach-outs and pricing
•Follow the guideline and dress code imposed by CSI and in-house hotels
•Preparing, coding and submission of vendor invoices for payment
•Preparation of Client contacts and Invoices
•Receive, research and respond to client questions
•Schedule and attend client meetings
•Schedule and attend internal meetings via Outlook and Teams
•Filing program documents electronically
•Other administrative tasks as assigned by the Executive team as the position continually evolves
Requirements:
•Mid to entry level position with minimum 1-2 years of sales and coordination experience preferred.
•Proposal writing or event management experience required, preferably on the supplier side. DMC experience is highly regarded.
•Must be organized with strong attention to detail
•Well-developed grammar and literacy skills
•The ability to listen closely and articulate confidently in meetings where decision makers and their teams may be present
•An organized work ethic with a proactive approach to completing tasks and maintaining accurate records.
•The demonstrated ability to multi-task and prioritize competing work needs
•Visually creative with an aptitude for CSI proposal products (PowerPoint, Canva)
•Able to work autonomously yet collaborate as part of a team on workflows
•The ability to maintain a schedule appropriate to the needs of a workplace and industry which includes nights and weekend work on an as needed basis.
