Position Overview:
Sparks is looking for an Operations Assistant to manage administrative tasks for the Operations department. This role also assists in the day to day functioning of our Philadelphia office by coordinating cleaning requests, the office lunch program, in addition to company committee responsibilities.
Responsibilities:
- Liaison between Sparks and Vendors
- Managing invoicing
- Scheduling service calls
- Manage cleaning requests
- Direct repairs/maintenance requests to appropriate shop or vendor contact
- Provide assistance to project managers by conducting research on vendors/products and comparing competitive rates
- Shop payroll to be completed every Monday EOD
- Purchasing coverage during purchasing manager absences this includes
- Organize and/or hold safety talks with the Shop
- Manage First Aid supply inventory through STAT First Aid
- Fire Captain Admin duties:
- Work closely with Safety Manager to update the Fire Captains Rosters
- Assist in hosting and taking meeting minutes for quarterly meetings
- Send updates to Fire Captain committee members when needed
- Provide assistance to Safety Manager to organize planned fire drills
- Take meeting minutes for Green Team and upload to Egnyte and handle any action items resulting from meeting discussions
- Manage work lunch program by processing credit cards and adding new member and assist with Wednesday lunch setup
- Manage Sparks Gym email and reservation requests
- Organize shop training programs with HR and IT
- Manage installation of (3) security doors inside the building and installation of ballistic glass in executive entrance
Qualifications:
- Excel skills
- Notable critical thinking abilities
- Strong communication skills, and excellent writing capabilities
- Ability to learn new software and applications to perform duties successfully
- Thrives in fast-pace environment
