Project Coordinator Intern
Jacob Green and Associates (JGA) is a thriving local government consulting firm based in Tustin, CA. At JGA, we deliver gold-star consulting services to local governments, police agencies, fire departments, and other entities. As our team grows, we are excited to offer a hands-on learning opportunity for a motivated individual to join us as a Project Coordinator Intern. This internship provides the opportunity to work closely with experienced consultants and the management team, gaining valuable insights into project coordination and local government consulting. Job (Internship) Overview
:
As a Project Coordinator Intern, you will support client-facing projects and internal teams by assisting with project schedules, communications, and deliverables. This role is designed to help you gain practical experience in project coordination while developing essential professional skills in a dynamic, fast-paced environment.
Key Responsibilities
:
Client Project Coordination: o Serve as a point of contact for clients during project engagements, ensuring clear communication and alignment on goals, timelines, and deliverables.
- Support development and maintenance of project schedules, tracking key milestones and managing potential risks to keep projects on track.
- Schedule, coordinate and facilitate regular client meetings by preparing agendas, capturing key takeaways, and following up on action items.
- Prepare and develop surveys to gather necessary insights and feedback.
- Coordinate and assemble client deliverables using input from project team members to ensure quality and accuracy.
Internal Team Collaboration
:
- Work closely with consultants and subject matter experts to ensure client needs are met and deliverables are prepared to the highest standards.
- Manage the workflow of multiple projects, ensuring resources are appropriately allocated to meet deadlines and client expectations.
- Identify and address potential bottlenecks in delivery or communications, ensuring seamless project execution.
Quality Assurance and Reporting
:
- Monitor project progress and provide regular status updates to clients and internal stakeholders.
- Ensure all deliverables are reviewed for quality and accuracy before submission to clients.
- Assist in preparing post-project reports and presentations, highlighting successes, lessons learned, and opportunities for improvement.
Administrative Support
:
- Maintain project documentation, including deliverable drafts, timelines, and key communications, ensuring all records are up to date and easily accessible.
- Ensure Lead Project Manager is fully prepared for client meetings as appropriate.
Qualifications
:
- Proven experience in project coordination, ideally in consulting or a similar role involving stakeholder engagement.
- Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.
- Strong interpersonal skills, with the ability to build rapport and maintain positive relationships with stakeholders and colleagues.
- Resilience and adaptability in managing challenging situations and shifting priorities while maintaining professionalism and focus.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Proficiency in standard office software and the ability to quickly learn and adapt to project management tools (e.g., Smartsheet, Microsoft Project).

Compensation:
- If hired after this internship, the compensation range is projected to be in the $30 - $40 per hour (this is equivalent to $62K - $82K per year) range, depending on experience level, etc.
