Job description

This is a remote position.

Job Title: Admin Assistant (Voice)

Location: Remote
Work Schedule: 40 hours per week, flexible during the client's business hours (South Carolina time)

Job Summary:
We are looking for a highly organized and proactive Virtual Assistant with exceptional customer service skills to support a group of healthcare providers. The ideal candidate is a self-starter who thrives in a fast-paced environment, has excellent communication abilities, and can effectively manage multiple responsibilities. In this role, you will be key in maintaining organization, following up with customers and patients, scheduling, and improving skincare sales workflows.

Key Responsibilities:

Administrative Support:

  • Schedule and reschedule current and new patient appointments to ensure alignment with the provider’s availability.
  • Adjust provider schedules (block and open time slots) as needed.
  • Communicate with customers 2 weeks after service to follow up.
  • Follow up with customers 2, 6, and 12 weeks after skincare purchases over $200.
  • Update and maintain patient information, including address and credit card details.

Skincare Sales Support:

  • Run monthly promotional reports and send personalized messages to customers who have purchased specific products.
  • Place skincare orders for customers on behalf of the provider.

This role requires excellent communication, organizational skills, and a proactive approach to managing administrative duties while providing top-tier customer service.
