The Proposal Coordinator is an excellent communicator and takes pride in their work. Under the guidance of the Proposal Manager, the primary function will be to support and coordinate the preparation of Requests for Proposals (RFP), presentations, and collateral.
As Proposal Coordinator, you will work with a proposal development team that includes engineers and subject matter experts to manage proposal efforts and incorporate best practices to develop client-centric, visually appealing, and compliant sales documents. The Proposal Coordinator will ensure the timely submission of high-quality, RFP-compliant, and compelling proposals.
How you can make an impact:
- Analyze requests for proposals (RFPs) requests for quotes (RFQs), requests for information (RFIs), pre-qualifications, and vendor registrations.
- Develop task matrices and summarize the evaluation criteria to guide the proposal team during proposal development.
- Draft proposal and oversee proposal production. Includes preparing supporting proposal development documentation (outlines, page allocation, resumes, project profiles, organizational charts, etc.).
- Develop and conduct, structured and organized proposal kick-off meetings that establish the plan to develop the proposal and the responsibilities and expectations of all proposal authors/writers and contributors.
- Working closely with all necessary Lines of Business (LOB) to deliver a proposal that addresses all required criteria outlined in an RFP.
- Oversee and expedite information gathering and compilation, data entry, and formatting.
- Proofread to ensure continuity and compliance with legal, technical, and marketing specifications.
- Coordinate RFP project contract terms with In-House Counsel.
- Provide graphics support for proposals and presentations.
- Work with staff members to generate high-quality, persuasive proposals, sales presentations, and other business development materials.
- Perform edits and coordinate activities required to ensure on-time delivery of error-free, client-focused proposals under aggressive deadlines.
- Ensure the effective integration of all relevant client case studies into proposals.
- Demonstrate strong interpersonal skills with the ability to engage effectively with various levels of management, staff, and clients.
- Track and update opportunities Salesforce
- Work with sales and technical teams to effectively follow up on proposal submissions and get the team to the next stage.
Qualifications:

- Bachelor’s degree in business, communications, or similar field preferred. Appropriate work/sales experience may, in certain circumstances, substitute for this educational requirement.
- Must be an excellent writer with the ability to craft clear and compelling content.
- Minimum of three years of experience in proposal coordination, sales, and marketing services or products within the Engineering and/or Consulting industry.
- Demonstrated experience coordinating and developing complex, voluminous proposals, including all proposal volumes (technical, solution, cost, and others).
- Must possess strong organizational and time management skills to meet hard deadlines under pressure.
- Ability to multitask and maintain effectiveness with multiple priorities.
- Professional demeanor, remaining calm and emotionally controlled under pressure.
- Must be production and detailed oriented with strong project coordination skills.
- Must be a strong team player with the ability to work independently.
- Relevant work experience as a Proposal Coordinator is preferred.
- Highly motivated with a strong desire to learn
- Experience with Salesforce, SharePoint, and Canva
