Our Newest Opportunity: 

Role Overview: The Part-Time Client Learning and Development Coordinator is a growth opportunity to support the Client Learning and Development department, working closely with the Director of Client Learning and Development to maintain and expand the department each year. In this role, you will provide administrative support, coordinate various trainings and client programs and assist with prospecting and client relations. You will be a thought-partner to the Director of Client Learning and Development to enhance the department to create efficiency and infrastructure to expand and scale as needed.

Key Responsibilities:

Administrative Support:

  • Co-maintain the Client Learning and Development Director’s calendar.
  • Schedule meetings for the Director with clients and prospects.
  • Manage the client Learning and Development training calendar and related logistics.
  • Respond to prospect and client emails as needed.

Proposal writing and invoice reconciliation:

  • Draft baseline proposals and track proposals through the approval process.
  • Track outstanding proposals to help secure prospect signatures.
  • Assist with end of month services tracking and invoice support. 
  • Support revenue tracking of services.

New Client Prospecting & Sales Support:

  • Maintain and track the Learning and Development prospecting pipeline.
  • Attend sales meetings with Head of Client Learning and Development and prospects, take notes, share notes with the team, complete tasks needed.
  • Create and send marketing and sales materials to prospective clients.
  • Design, co-author monthly Client Learning and Development newsletter emails.
  • Respond to internal and some external inquiries from prospects.
  • Follow-up with prospects after first email/proposal has been sent.

Client and Coach Coordination:

  • Coordinate the onboarding and offboarding process for Learning and Development contractors.
  • Coordinating contractor’s quarterly 1:1 meetings and individual contractor meetings with Head of Client Learning and Development.
  • Coordinate coaching chemistry calls with the client’s choice of coaches, finalize the client’s choice of a coach as well as ensure the final Statement of Work addendum for each coach/client relationship is updated and signed by Executive Sponsor at the client.

Training Program Management:

  • Schedule and manage the Management Training programs and logistics (3+ cohort programs per year).
  • Manage the training email inbox, respond to inquiries, and ensure timely follow-up.
  • Create and send calendar invites for new participants in each cohort and share relevant invites with trainer and course participants.
  • Draft and distribute certificates of completion for participants.
  • Prepare and send course follow-up surveys to participants.
  • Manage TalentLMS content, including creating new courses, generating coupons, uploading training content, run reports, and track progress.

Predictive Index (PI) Management:

  • Manage the backend sales system to track prospects and client renewals.
  • Generate and track agreements for signature.
  • Create demo accounts and send assessment invites to clients and prospects.
  • Attend monthly webinars and discuss relevant updates with the Head of Client Learning and Development.
  • Schedule and attend quarterly client meetings. During meetings share client dashboard to show usage of the Predictive Index platform.
  • Assist with technical support for clients, liaising with the PI customer support team as needed.
  • Be connected and understand PI platform for all current clients to help, assist, support and troubleshoot questions and problems.
  • Coordinate and share Director’s open office hours for clients and short PI trainings on certain PI topics.

Additional Administrative & Client Support:

  • Maintain company files and client files as necessary.
  • Assist with various client Learning and Development programs and other duties as assigned.

Required Skills & Qualifications:
  • Proficiency in Microsoft Office Suite, Zoom, Teams, DocuSign, and other company applications.
  • Knowledge of TalentLMS and D365 is a plus.
  • Ability to manage multiple calendars and support various aspects of the sales process.
  • Strong organizational skills to prioritize tasks, manage time effectively, and meet deadlines.
  • Reliable, collaborative, and capable of working independently in a fast-paced environment.
  • Extremely professional in front of C-Suite clients.
  • Strong written communications skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Excellent attention to detail and accuracy.
Time Commitment:
  • 20 hours per week.

Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
