Job description

This is a remote position.

Work Schedule: Monday to Friday 8 am - 5 pm Dunedin, FL Time

Hours: 40 hours per week


About the Role
We are seeking a highly motivated and strategic   Operations Manager  to oversee and enhance our company’s operations, ensuring alignment with business objectives and fostering efficiency, scalability, and client satisfaction. This role is pivotal in driving key processes, improving team performance, and achieving our ambitious revenue goals.


Key Responsibilities

1. Orientation and Strategic Understanding

  • Familiarize yourself with the company’s vision, mission, and revenue targets.
  • Understand the annual revenue goal of $1.2M with a 40% margin and the importance of acquiring Level 1 clients.
  • Review current service offerings and market positioning.

2. OKR Implementation and Service Optimization

  • Service Refinement:
    • Conduct an in-depth analysis of existing services and identify areas to niche down.
    • Present recommendations to enhance service efficiency and profitability.
  • Process Improvements:
    • Audit processes across all service areas (e.g., CMO services, email support, branding, website development).
    • Propose and implement improvements, including automation for scalability.
  • Team Management:
    • Design strategies to reduce the CEO’s workload and improve team ownership and efficiency.
    • Oversee reporting and ensure all deadlines are met.

3. Sales and CRM Development

  • Collaborate with a freelancer to set up and configure a CRM system.
  • Develop a sales pipeline and refine onboarding processes.
  • Implement a referral program to enhance client acquisition and retention.
  • Automate the contract management process for seamless client onboarding.

4. Process and Automation Enhancements

  • Audit and map out workflows across service areas, identifying inefficiencies.
  • Introduce and train the team on tools for process automation.
  • Enhance client experience with standardized reporting templates, KPIs, and feedback systems.

5. Team Management and Development

  • Conduct regular performance reviews and facilitate feedback sessions.
  • Optimize team structure by assessing roles and proposing realignments if necessary.
  • Establish clear scheduling frameworks and manage team deadlines.

6. Client Relationship Management

  • Serve as the primary point of contact for 1-2 clients, ensuring satisfaction and fostering trust.
  • Address client inquiries, resolve issues, and provide updates on project progress.
  • Coordinate with internal teams to align client needs with deliverables.

7. Reporting and Monitoring

  • Lead the automation of reporting systems for consistency and ease of use.
  • Provide actionable summaries to the CEO, highlighting progress on revenue goals and operational efficiency.

8. Leadership and Team Empowerment

  • Delegate tasks to ensure ownership and accountability.
  • Host skill development sessions to improve team capabilities.
  • Encourage collaboration and maintain transparent communication across departments.

9. Metrics and Success Indicators

  • Achieve a monthly revenue target of $100K by 2025.
  • Sustain a robust pipeline of Level 1 clients.
  • Streamline processes to reduce turnaround times and improve SOP adherence.
  • Fully implement and utilize a CRM system for sales and client onboarding.
  • Improve team productivity and reduce the CEO’s workload.
  • Automate reporting systems for real-time monitoring of key performance metrics.

10. Continuous Improvement

  • Conduct regular reviews of OKRs and adapt strategies based on feedback.
  • Celebrate team milestones to maintain morale and motivation.

  • Strong analytical and organizational skills with a focus on process improvement.
  • Familiarity with CRM systems, automation tools, and project management platforms.
  • Excellent communication and leadership abilities.
