This role is part of the Functional Service Partnerships (FSP) Site Payments team, which is dedicated to processing of Investigator Payments. As Manager Site Payments, you will be dealing with one of the most complicated periods of the life-cycle of a clinical trial, which is essential part of our business operations and is a vital function within the FSP Business Unit (BU). By joining our diverse and dynamic team of professionals, you will have the opportunity to support key projects and gain insight on how the payment processes is performed within the clinical trial business.

Discover Impactful Work:

The Manager Site Payments manages site payments staff to ensure all project deliverables meet customer’s expectations and contract specifications. Manages risks and leads escalated actions to resolution. Creates and develops site payments processes and procedures, and other documents. Manages team’s performance and ensures projects are appropriately resourced. Primary liaison with Sponsors, supports the FSP BU business development.

A day in the Life:

  • Line manages functional site payment teams to ensure best in class delivery of payments to investigators.
  • May be required to build new/expand team/new location and manage international team. May represent company’s brand on job fair in order to support team’s expansion.
  • Oversees project delivery, ensuring that individual project targets are met, and services are provided according to the highest quality standards. Provides effective risk management for assigned teams and projects to ensure business continuity.
  • Reviews and approves time records, expense reports, leave requests.
  • Manages goal setting, coaching and mentoring, professional development, performance management, corrective actions, and terminations. May participate in interviews and selection, job description preparation.
  • Assists senior leadership team in analysis of reports/metrics and trends and developing and implementing improvements.
  • May participate in Bid defense meetings (incl. presenting), prepare Request for Information (RFI), Request for Proposal (RFP), inclusive budget building to support FSP Business development.
  • Assists in developing departmental/team’s policies, procedures, training materials and other documents, as needed. May participate in work streams as the subject matter expert.
  • As needed, provides QC and approval of site set-ups, site payments, milestones, budget entries, contracted payees, reimbursements, site reconciliations and payment issue resolutions.

Keys to Success:

Education

  • Master's degree preferably in Finance area.

Experience

  • Previous experience in the clinical trial industry with leadership responsibility 1+ year. Experience in FSP business and participation in RFP/Bid defense process is strong advantage.
  • Experience with Site Payments Platform/s, EDC system, ticketing system, advanced excel.

Knowledge, Skills, Abilities

  • Strong written & verbal communication skills, which include excellent English language. Good cultural awareness and able to adapt to audience as appropriate.
  • Customer focused style of communication, problem solving and teamwork, including establishing clear communication and escalation pathways.
  • Solid organizational, attention to detail, negotiation, presentation, self and team management skills. Demonstrated evidence of effective mentoring/leadership ability including excellent interpersonal and conflict resolution skills. Excellent team building skills.
  • Proven ability to handle multiple timeline sensitive tasks efficiently and effectively. Flexible and able to reprioritize workload to meet changing business needs. Able to proactively identify, address and prevent project related issues.
  • Highly skilled at extracting and effectively analyzing project specific data incl. producing accurate forecast. Able to identify specific FSP client’s needs, negotiate tailored solutions, then build, and implement payment process as needed.
  • Excellent technical skills and ability to quickly learn new software; advanced MS Excel; experience with Site Payment platform, financial, ticketing, EDC systems.
  • Thorough understanding of ICH Good Clinical Practices, Country Regulatory and/or applicable tax regulations, etc. for all nonclinical/clinical aspects of project implementation, execution, and closeout.
