Full Time: Monday - Friday 8-5PM California Time with 1hr unpaid break
Job Summary:
The Operations Assistant supports the day-to-day operations of an organization by ensuring smooth coordination between departments, managing administrative tasks, and improving operational efficiency. This role requires strong organizational, problem-solving, and communication skills, as well as the ability to adapt to a dynamic work environment.
Key Responsibilities:
1. Administrative Support:
o Assist in the preparation of reports, presentations, and correspondence.
o Maintain and update records, files, and databases.
o Schedule meetings and coordinate appointments for team members.
o Completing daily tasks assigned on time.
o Work closely with Project Coordinator, Sales Support and Accounting personnel for smooth daily operations.
o Assist with requesting and obtaining different documents from internal and external personnel.
o Respond to internal & external emails daily.
o Assist Insperity HR for Employee related needs.
o Onboard and offboard employees.
2. Operational Support:
o Track and prepare reports on operational performance metrics.
o Collect data from Sales Support, Project Coordinator and Accounting to prepare weekly progress reports.
Support the implementation of operational procedures and policies.
3. Coordination and Communication:
o Act as a point of contact between departments and external partners.
o Communicate updates and changes to relevant stakeholders.
o Coordinate logistics for events, projects, or shipments.
4. Problem-Solving:
o Identify inefficiencies in current processes and recommend improvements.
o Address and resolve operational issues in a timely manner.
5. Compliance and Safety:
o Ensure compliance with company policies and industry regulations.
o Assist in maintaining a safe and organized workspace.
Qualifications:
• Education: High school diploma required; associate or bachelor’s degree in business, management, or a related field preferred.
• Experience: Previous experience in administrative or operational roles is an asset.
• Skills:
o Excellent organizational and multitasking abilities.
o Strong communication and interpersonal skills.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), NetSuite, Asana, Hubspot and other relevant software.
o Basic understanding of operational processes and supply chain management.
