Summary of Job Duties:
The Program Coordinator will provide a high level of programmatic and administrative support for a division (or divisions) within the College of Medicine, Department of Surgery. Each division is responsible for execution of specialized programs related to division’s clinical specialty. The primary areas of work will involve high-level administrative duties, program coordination, data collection and reporting, professional document preparation, travel management, purchasing, scheduling and office support for the division(s). The Program Coordinator will also work cooperatively with Service Line staff in order to maintain UAMS standards of first class patient care. The incumbent must be detail oriented, have excellent professional writing, editing, and spelling skills to assist with correspondence & professional presentation development for the Division Chief and faculty within the division. The position communicates with executive and professional leadership positions both internal and external to UAMS.
Qualifications:
- Bachelor’s degree in administration, communications, business or related field plus two (2) years of programmatic and executive-level support, including drafting and managing professional correspondence or
- Associates degree in administration, communications, business or related field plus four (4) years of programmatic and executive-level support, including drafting and managing professional correspondence or
- High School diploma/GED plus six (6) years of programmatic and executive-level support, including drafting and managing professional correspondence required.
Knowledge, Skills and Abilities:
- Must have strong organizational skills.
- Proficient with MS Office programs including Outlook, Word, Excel and Power Point with Intermediate Level Proficiency.
- Experience preparing executive level correspondence including letters, resumes, CV’s, letters of reference, various support letters and other general and professional correspondence and documents.

Responsibilities:
Conduct data collection, abstraction, and reporting; participate in relevant registries.
Assist with grant and research support, including literature searches utilizing reputable resources.
Coordinate physician outreach engagements and educational programs.
Develop professional presentations utilizing content provided by faculty.
Plan and execute targeted outreach and marketing events
Maintain divisional and program-related websites, and manage social media accounts to promote activities and initiatives.

Support financial planning and reporting activities.
Coordinate continuing education events.
Manage faculty calendars and schedules, and coordinate clinical and educational responsibilities.
Update faculty’s curriculum vitae and/or bio sketches as needed.
Assist with the preparation of promotion and tenure packets as needed
Prepare letters of recommendation.
Assist with the renewal of hospital privileges.
Develop and enter call schedules into the On-Call System.
Coordinate meetings, prepare agendas, and take minutes as needed.
Assists faculty with acquiring IT support as needed.
Screen and answer calls in a professional and timely manner.
Manage division property by maintaining an accurate list and keeping office equipment in working order.
Responsible for managing travel arrangements for the Division Chief and the entire division, including in-state, out-of-state, and international travel. Duties include securing airline tickets, hotel reservations, and appropriate ground transportation, as well as processing meeting registrations.
Ensure all travel-related activities and purchases comply with UAMS and State policies and are processed through the SAP system as required.
Prepare travel binders and submit timely reimbursements in accordance with state and UAMS guidelines.
Provide faculty with the status of division e-fund budgets.
Manage purchasing/travel encumbrances ensuring documents are processed in a timely manner.
Order office supplies as needed and maintain an appropriate level of supplies.
Maintain faculty medical licensures, memberships, and credentialing information ensuring fees are paid timely.
Assist with the preparation of daily correspondence as needed, including letters of recommendation, letters of support, and letters of intent.
Review and edit written materials and assignments to correct errors before submission.
Maintain organized storage of completed written documents for quick and future reference.
Perform other duties as assigned.
