Job description

This is a remote position.

Schedule:
  • 40 hours per week or 8 hours per day
  • Monday - Friday
  • 8:00 AM - 5:00 PM Edmonton, AB, Canada Time
  • With 1 hour unpaid break in between

Company/client overview: The client offers furniture, laboratory FF&E (furniture, fixture, and equipment), flooring solutions and general contracting.


Responsibilities:
The Sales Coordinator (SC) role is Solutions primary customer‐facing resource. The SC is the liaison between the assigned accounts, internal support teams and Sales Representative. The SC is responsible for the entire sales order fulfillment process, including management of customer orders from order entry point through punch list, providing support to sales personnel, and accurate and timely service to customers. Coordinates proposal development, analysis of project costs, ensuring prompt, proper execution and accounting for all contractual fiscal transaction and deliverables, and maintaining a portfolio of all associated technical tasks. The overriding task of this role is to help drive sales within the assigned sales team.


Specific Responsibilities and Duties:

Customer Service
  • Continually monitor client relationships to meet and exceed Solutions and client goals.
  • Reviewing the scope of new/potential opportunities
  • Attend team and client planning meetings when applicable
  • CAD Specifications – Review specifications as required
  • Assist in proposal development
  • As the customer contact, provide excellent customer service in order to increase client satisfaction, contract renewal and new product introductions.
  • The SC ensures that the contractual obligations agreed to by Solutions are met in a fashion that maintains (or enhances) time, cost and quality of deliverables; providing an environment where projects can be run successfully.
  • The SC prioritizes resources across projects, managing links between the projects and the overall costs and risks.
  • Provides clarifications and answers for customer’s questions regarding order issues
Order Preparation
  • Produce quotations; organizes, reviews, and follows up on quotes
  • Assists sales/project personnel in pricing, product research, and technical order information (C.O.M. requirements, custom requirements etc.)
  • Assists sales with the preparation of RFP’s, RFQ’s and/or Tenders as required
  • Participates in project hand‐over meetings (could include hand over meeting with PM or Client walk through)
  • Participates in bid review meetings with owner or owners representatives, when required
  • Reviews and proofs order for basic information (ship to, bill to, contract number, etc.) accuracy and completeness
  • Initiates service quotes for deliveries, small orders and major orders (if required)
  • Continual Process Improvement ‐ Focus on efficiency and effectiveness (Reduced Hand‐offs)
  • Improved turn‐around time, fewer deficiencies)

Technology
  • Prior experience with Khameleon, Project Spec, Excel, PlanGrid
  • Maintains accurate and timely data in CRM program

Quality and Customer Service
  • Ensure clients are kept up to date regarding existing orders through regular communication and interaction.
  • Adherence to all aspects of Client Service expectations, working with internal personnel to represent client needs and insure client satisfaction and peak program performance levels are met.

Project/Account Coordination
  • Initiates and oversees deliveries and small installations; provides order management on all work, including large projects
  • Analyzes order requirements, details scope of work, requests service pricing and schedules work with scheduler for deliveries and small installations
  • Interfaces with factory on order status, current lead times, reservation of manufacturing for future / project orders, special requirements, C.O.M. requirements etc.
  • Communicates with customer on schedule of work, site requirements and project parameters for deliveries and small installations
  • Manages factory interface and shipping coordination for all work
  • Oversees delivery and small installation task completion
