Job Description

Calendar management

  • Organizing meetings
  • Keeping contact with other assistants
  • Structuring calendar

Preparation of presentations

Mailbox Management

  • During holidays daily check of calendar
  • Prioritizing emails
  • Keeping contact with deputy

Event organizing

  • Getting familiar with Event-tools
  • Booking meeting room
  • Ordering catering
  • Organizing evening program both in Hungary and Germany

Travel organizing

  • Getting familiar with TSI Booking Tool
  • Booking flights/trains/hotels
  • Checking hotel availability and distances between places
  • Preparation of documentation if needed (e.g Visa, A1 broadsheet)

Procurement activity

  • Creating shopping carts both for individual and customer demand
  • Familiar with procurement tool and procurement processes
  • Collaboration with colleagues from finance and procurement

Others

  • Creation & tracking of Action Item Lists
  • Creation/Ordering/Maintenance of Mailing lists
  • Maintenance of IT equipment (Laptop, mobile phone, SW, ...)
  • Experience in collaboration tools like WebEx conference, Miro, ...

 Ad-hoc tasks where good problem solving and prioritizing skills are needed
