Job Description
The Facilities Coordinator is the main point of contact for the facility, responsible for mail, supplies, coordination of complex maintenance work and general oversight of vendor work.
Primary Responsibilities
- Point of contact for assigned location with regards to urgent facilities issues.
- Orders and maintains inventory of supplies.
- Conducts preventative maintenance according to recommended guidelines.
- Conducts office moves and other site logistical needs.
- Makes off-site deliveries and pick-ups as needed.
- Collect and overnight all accounting documents where applicable.
- May perform light maintenance and adjustment of facilities, furniture, and fixtures.
- Responsible for ensuring the assigned location has a building evacuation plan; may assist in development and/or upkeep of emergency preparedness plans related to facilities.
- Maintain fire safety systems, including fire extinguishers, smoke detectors, suppression systems and ensure office safety.
- Liaise with vendors and suppliers on behalf of the company.
- Keep Facilities Leadership apprised of status of the assigned location on a regular basis.
- Perform mailroom services, mailing items via USPS and overnight UPS packages and documents, scanning packages, delivering mail, copier maintenance, paper deliveries, bill payment processing. Troubleshoot mail, copy, and other office machines when they are not working properly and contact Tech Support when necessary.

Minimum Qualifications
- High school diploma
- Minimum of 2 years of experience handling facilities operations
- Process management
- Attention to detail
- Great organization skills
- Strong and effective communication skills

The salary range for the Facilities Coordinator role is currently between $23.89 and $26.49, and the amount that is offered is based on the candidate's skills, experience and education, among other factors determined by the business. It is within Kaplan's discretion to adjust this range based on business needs.
