Position Overview:

We are building a new (greenfield) Insulet Global Capability Center operation in Guadalajara (IGCCG)  to support the rapid growth of our company through excellent business services, delivered in an optimized model.  To enable IGCCG properly, a Leadership team is being created to serve as governance body and enhance Talent Acquisition, Employee Experience, Growth and Value Creation through Innovation.  The Administrative Assistant to the IGCCG , will be accountable and responsible for various administrative tasks across the IGCCG reporting to the Managing Director. 

They work closely with Global Process Owners (GPOs), that are leaders in their function in IGCCG.

There are three primary objectives of the role:

Support the IGCCG Director in various local events, calendar coordination, administrative tasks and travel support. Support the IGCCG LT during meetings with minutes and follow-ups. Document local processes and procedure for the administrative function.

This is a hands-on role, requiring an individual with highly organization and communication skills, along with negotiation and influencing skills required to arrange events, agendas and close on open items per deadlines.

The role will include engaging with an international executive team to arrange itineraries and agendas when visiting the IGCCG.  

Responsibilities

  • Responsible for performing tactical and strategic administrative support tasks for upper executive level employees of the organization.
  • Responsibilities include performing various tasks in administrative support at the upper executive level.
  • These tasks may include, but are not limited to, key records maintenance, compiling data for reports, administrative tasks associated with the budget process, scheduling executive appointments and meetings, calendar maintenance for upper executive level employees, preparing expense reports, preparing/editing executive presentations, making travel arrangements and other established general administrative requirements of the organization. Arranging and coordinating events.
  • Place PO’s and assure proper payments per T&C’s.
  • Coordinates the administrative work within the department/division, working with other departments/divisions.
  • Recognized as the top administrative employee in the department or division.

Education and Experience

  • High school education or equivalent; some college level education highly preferred.
    Typically requires a minimum of 5+ years general administrative experience, or equivalent combination of experience and college level education.
