This is a remote position.

Job Highlights:
  • Contract type: Independent Contractor
  • Position: Customer Service Representative - Planners
  • Reports To: Customer Service Manager
  • Schedule: Monday to Friday, 9am to 5pm Eastern with a 30-minute paid break

      This is for the two divisions of the main company. These divisions focus primarily on sales of Student Planners to K-12 schools, Colleges, and Universities.
      We have 1000’s of customers and produce millions of planners each year for the Academic Market.
Our Customer Service Team is the best in the industry, providing our clients with outstanding support and
follow-up. We pride ourselves on having a positive and fun work environment.

Responsibilities:
- We utilize and customize Web-to-Print software to manage all aspects of the order from quoting to
delivery to invoicing. There are many aspects of the ordering process that are managed in the system.

  • Order Creation
  • Tax Exemption Management
  • PO Management
  • File Submission
  • Proofing
  • Timeline Management
  • Payments
  • Shipping
  • Invoicing
  • A/R
- Given our expected sales growth in 2025, we need to expand our customer service team to manage
orders proactively and respond to inbound customer inquiries. Our goal is to provide timely, friendly
customer service while ensuring on-time delivery of their time-sensitive Student Planners. You will help
guide the customers through the order process, which can span many months by balancing urgency with
professionalism and flexibility.
- Continuous monitoring of customer orders to ensure handbooks and artwork are submitted in a
timely fashion.
- Finalize customer requirements and submit orders to Production Manager for processing
- Upload customer files into the system when sent by email
- End of season call, or email customers thanking them for their business that year and set up next
year contact.
- Assist with the collections of outstanding balances over 30 days
- Help process renewal orders for existing customers (Year 2)
- Participate in team meetings and one-on-one meetings with the Customer Service Manager.

Requirements
  • Previous experience in the printing industry is positive but not required
  • Customer Service Support experience – minimum of 5 years customer support
  • Ability to provide customer service via email and on the phone
  • Strong English Speaker
  • Strong communication and telephone skills.
  • Excellent attention to detail and ability to multitask.
  • Ability to work individually and as part of a team.
  • Strong organizational skills
  • Ability to learn web systems such as our order management system quickly and ticketing system
  • Strong Excel skills
