Job description

Job Title:

Receptionist with English for our office in Bucharest

Job Description

  • Managing security procedures at the Bucharest office
  • Managing the access control system and access cards for company spaces, when necessary
  • Managing the necessary documentation to ensure proper operation of the company’s premises in terms of occupational health and safety (SSM) and fire safety (SU) (evacuation plans, fire extinguishers, PRAM checks)
  • Archiving and managing documentation regarding periodic inspections carried out by the administration (fire detection, CCTV, HVAC, etc.)
  • Recording visitors in the specific access control system
  • Cooperating with the employer and/or designated workers, as necessary, to enable compliance with requirements set by labor inspectors and health inspectors
  • Providing support services
  • Managing incoming/outgoing correspondence through the document registry and directing it to the relevant departments
  • Ensuring a high level of service delivery from suppliers (cleaning, security, climate control, transportation, courier services, etc.)
  • Coordinating transport and delivery protocol activities
  • Managing the company’s vehicle fleet
  • Supervising inventory of materials
  • Handling and responding to requests from other departments
  • Actively participating in organizing internal and external events
  • Participates in and manages interior design and expansion activities for the company’s spaces
  • Managing company-related purchases
  • Processing administrative/protocol expense reports

Candidate profile

  • Work experience for more than 1 year  
  • Strong communication skills, both written and verbal, time management         
  • Proficient in  Microsoft Office            
  • Demonstrated ability to multi-task, prioritize, and meet timelines on deliverable
  • Self-starter, sense of urgency, and works well under pressure                      
  • Strong attention to detail                       
  • Sense of professionalism and ability to develop good relationships   

Working hours: Monday-Friday, 09:00-18:00
Location: Bucharest, Premium Plaza, ADMIN office
After 3 months, based on performance, there is the possibility to work from home 2 days per month.
