Job description

Position Title: Medical Virtual Assistant

Reports To: Partner, Partner Advisor

Primary Relationships: Partner Team

Date: November 2024

Schedule: 11:00 PM - 8:00 AM PHT


Summary:

As a Medical Virtual Assistant you will work closely with key departments such as medical services, billing, and client support teams, collaborating to ensure that patient records and other essential data are entered correctly into our systems. You will also assist in organizing office operations, maintaining effective communication, and providing excellent customer service to both internal teams and external clients.


Responsibilities:

Data Entry & Record Maintenance:

  • Accurately enter and update patient data into Electronic Medical Record (EMR) systems

  • Ensure records are complete, compliant with HIPAA regulations, and easy to retrieve

  • Conduct regular data audits for quality and accuracy

Administrative Support:

  • Assist with scheduling patient appointments and coordinating home healthcare staff

  • Maintain office organization and manage supplies

  • Act as first point of contact for patients and professionals, providing information and addressing inquiries

Compliance & Reporting:

  • Ensure compliance with HIPAA guidelines and healthcare regulations

  • Assist with generating reports on patient visits, billing, and service delivery

  • Support adherence to internal policies and procedures

Billing & Documentation Support:

  • Assist with billing documentation preparation and verification

  • Verify patient insurance eligibility and obtain necessary authorizations

  • Prepare and file medical documents and insurance paperwork

Office Coordination:

  • Manage office inventory and supplies

  • Support cross-departmental projects and assist with team organization



Qualifications:

  • Bachelor's Degree is required; an Associates degree or higher in healthcare administration, business, or a related field is preferred

  • Experience in an administrative or data entry role is preferred, especially within the healthcare industry.

  • Familiarity with healthcare management software (EMR/EHR systems) is a plus

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), with the ability to create and manage documents, spreadsheets, and email communications

  • Familiarity with healthcare management systems is a plus.

  • A sharp focus on accuracy, ensuring that all data entered and tasks completed are precise

  • Strong written and verbal communication skills

  • Ability to identify issues and find practical solutions quickly and efficiently

  • Capable of managing multiple tasks and prioritizing in a fast-paced environment.

  • Commitment to handling sensitive information with the utmost care and in compliance with HIPAA and other privacy regulations
