Wishpond Technologies currently has the position of  Operations Specialist (Worldwide) available, and we’re excited to tell you about it!

OVERVIEW
We are searching for an Operations Specialist (with fluent English skills) to join our Account Management team on a full-time basis.  This is a fully remote position and the successful individual could be based anywhere in the world.

The Operations Specialist will play a crucial role in supporting the daily operations of our company, primarily working alongside the Senior Account Director. This role emphasizes process automation, document governance, and the overall improvement of our internal systems. The Operations Specialist will be instrumental in identifying, creating, and implementing efficiencies across various processes, enabling the team to maintain high productivity and focus on core business activities.

Our ideal candidate is action-oriented, highly organized, and able to work independently, consistently taking initiative to identify areas of improvement without needing constant oversight. They should bring advanced knowledge of automation and process management tools, with a track record of using these tools to reduce manual workload, streamline workflows, and enhance team efficiency. In collaboration with the Account Management Team and all departments, the Operations Specialist is responsible for the success of Wishpond Technologies Ltd.

RESPONSIBILITIES
Process Automation: Identify and develop automations to simplify and streamline recurring tasks using digital tools.
Standardization and Organization of Internal Processes: Collaborate on the design, documentation, and improvement of internal processes to ensure consistency and efficiency.
Document Governance: Manage the creation, storage, and updating of key documents, maintaining an organized and easily accessible archive.
Daily Task Support: Assist with daily and operational tasks, providing administrative and operational support as needed.
• Other duties as assigned.
 
QUALIFICATIONS
Automation and Process Management Expertise: Experience with process automation tools such as Zapier, Integromat, or similar software. Strong understanding of workflow design, with the ability to create seamless integrations across multiple digital platforms. Capable of troubleshooting and refining automated workflows to ensure consistent performance and reliability.
Organizational Skills and Document Management: Proficiency in organizing and managing digital files and documentation, with a focus on maintaining accurate and accessible archives. Detail-oriented approach to document governance, ensuring documents are up-to-date and compliant with team standards. Familiarity with digital storage solutions (e.g., Google Drive, SharePoint) for streamlined access and efficient information retrieval.
Proactivity and Self-Sufficiency: Demonstrated ability to proactively identify process improvements and implement solutions independently. Self-sufficient approach with strong initiative, requiring minimal supervision once tasks are defined. Capable of anticipating potential obstacles and addressing them proactively to prevent impact on team performance or project timelines.
Effective Communication and Collaboration: Excellent written and verbal communication skills for conveying process changes and providing clear instructions. Collaborative approach that ensures all team members are informed and comfortable with operational adjustments. Experience working within cross-functional teams, with the ability to explain technical changes in an accessible way for non-technical stakeholders.
Time Management and Prioritization: Skilled in managing multiple tasks and projects concurrently, with a structured method for prioritizing activities based on deadlines, impact, and available resources. Proven ability to maintain productivity under pressure and adapt priorities to meet evolving team and organizational needs.
• A degree or diploma that contributes to the organization or role is considered an asset
• As part of a diverse team, ability to work both independently and collaboratively in a fast-paced, results-oriented environment
• Must be technical, analytical, and have the ability to manage complex projects seamlessly
• Organized, administratively strong, great time management, and have solid writing, phone, and general communication skills
• Fluent in English (spoken and written). Knowledge of a second language is considered an asset
• Willing to participate in ongoing education and training for the role

WORK ENVIRONMENT
• It is expected that the successful candidate will provide their own workstation, computer, camera (not keyboard version), headset, and have a fast and reliable internet connection. This position may be required to download and utilize company software.
• The individual must be prepared to work regular business hours based on PST or EST
• Due to the nature of this role, we may verify backgrounds including conducting employment reference, criminal record and credit checks.
• Once hired, the successful candidate must provide a valid government-issued photo ID as part of their onboarding process.
