What Are We Looking For

MultiplyMii is in search of an Executive Operations Assistant who will be working with our client based in Michigan, USA. Our client is a pioneering defense solutions provider dedicated to supporting America’s warfighters. They specialize in engineering services, research and development, reverse engineering, ground vehicle design, testing and evaluation, systems integration, and offer comprehensive manufacturing and fabrication capabilities.

As the Executive Operations Assistant to the CEO, as well as assisting the Chief of Staff, you will play a key role in supporting the daily operations and administrative tasks of the executive team, ensuring a smooth workflow and contributing to the company's overall success. Your responsibilities will include providing executive support, managing operations, and assisting with diverse administrative tasks, such as HR support, data management, calendar coordination, and creating PowerPoint presentations.

Beyond your experience, we are looking for someone who is highly motivated, sharp, and resourceful and with the ability to work independently. Impeccable English communication skills, both written and verbal, are essential.

This role is 100% work from home.

In This Role, You Will

  • Assist in HR support functions such as maintaining employee records, resume screening and updating job descriptions.
  • Handle data management tasks to support decision-making processes and reporting needs.
  • Manage calendars, schedule meetings, and coordinate appointments effectively.
  • Create professional and engaging PowerPoint presentations for various purposes.
  • Utilize Canva for designing graphics and visual content.
  • Assist in day-to-day operations and administrative tasks.
  • Support in onboarding new team members and documenting processes.
  • Arrange travel for executive team members and/or other team members for business travel.
  • Provide back-end support for operations and finance tasks.
  • Collaborate with the team to ensure smooth workflow and communication.
  • Adapt to the company's culture, vision, and mission to align with the overall goals.

About You

Core qualifications:

  • 3-5 years of experience as an Admin Assistant, Executive Assistant or similar roles
  • Proficiency in calendar management, scheduling meetings, and coordinating appointments efficiently.
  • Proficiency in managing and organizing email correspondence efficiently.
  • Proficiency in general admin tasks such as preparing documents, handling expenses, maintaining records or databases etc.
  • Ability to support decision-making processes by handling data analysis and reporting needs.
  • Proven experience in travel coordination
  • Proficiency in using Microsoft Office Suite
  • Excellent written and verbal communication skills.
  • Proactive and Collaborative
  • Highly motivated, insightful, resourceful, and capable of working independently.

Advantageous

  • Experience working with companies based in the US.
  • Experience in basic HR functions such as maintaining employee records and updating job descriptions.
  • PowerPoint Presentations: Ability to create professional and engaging PowerPoint presentations for various purposes.
  • Canva: Proficiency in using Canva for designing graphics and visual content.

Shift And Schedule

Monday to Friday, 40 hours per week, aligned with Eastern Time hours, with a required overlap of 2 to 4 hours for training and communication.
