Job description

What are we looking for:

MultiplyMii is searching for a Client Experience Coordinator (CXC) who will be working with our client based in Canada. Our client specializes in leadership and communication training, working primarily with clients across Canada and the US. They offer customized course designs and training programs facilitated by a team of expert contract facilitators.

In this role, will be responsible for ensuring the seamless execution of training sessions, coordinating between clients and internal teams from course purchase through to delivery. You will oversee session logistics, maintain strong client relationships, and ensure smooth delivery of both in-person and virtual training programs.

This role is 100% work from home.

In This Role, You Will

  • Post-Sales Client Management: Engage with clients upon confirmation of their course purchase, serving as the primary contact for scheduling, logistics, and general inquiries.
  • Course Scheduling & Facilitation Coordination:
    • Check instructor availability and match facilitators to scheduled sessions.
    • Collaborate with clients to finalize dates, locations, and session logistics.
    • Coordinate physical or virtual venue setup, including room configuration and Zoom link creation for remote sessions.
  • Materials & Logistics:
    • Coordinate with vendors to order and ship necessary materials, ensuring timely delivery.
    • Communicate room setup and session details to facilitators.
  • Evaluation & Feedback: Send course evaluation links post-session, collect feedback, and share insights with relevant teams.
  • Invoicing: Prepare and send invoices to clients, including evaluation summaries, while liaising with the accounting team for payment follow-ups.
  • Work closely with various internal teams such as :
    • Sales Team to understand client requirements and confirm course details.
    • Product Team to arrange any customizations and ensure materials are prepared.
    • Contract Facilitators to confirm availability and coordinate session logistics.
About You

Core qualifications:

  • 1-3 years of experience in a client-facing, logistics, or administrative role.
  • Familiarity with CRM systems (e.g., Salesforce) is advantageous but not required.
  • Knowledge in calendar management and basic project management skills.
  • Ability to handle challenging client situations professionally and maintain positive client relationships.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
